How to combine my customers with requested products and artists

Hello everyone,

I am still new to the HubSpot CRM (Sales Professional) and currently struggling with the implementation of our sales process.

On our website you find musicians etc. for your event and we mainly focus on weddings and therefore private customers.

Our (private) customers use an application form to send in their request for one or more artists. There they can also choose out of four “wedding bundles” to specify their request.

I would like to know how I can adjust the HubSpot CRM to my needs. Whenever there is an application, I would like the system to connect the new customer with the requested artists and wedding bundles.

My question is – how do I implement these components? Would I just have to implement all my artists as products? But what to do about the “wedding bundles”? Is there any way to combine all three?

Vincent you can probably classify your artists by Genre (Rock, Pop, Hasselhoff) and then create a workflow that if they’re asking about one particular artist you can show them others - behind the scenes you can classify them as part of a genere list. By and large what you’re asking about is in Marketing though, not necessarily sales tools.

There are multiple ways this can be approached, depending on your exact requirements. Let me draft the process so you can let me know whether this is what you’re looking for.

For the bundles and artists, I would recommend working with custom properties. Custom properties are great when you need additional properties to gather information for your business processes. They can be used as form fields. In your case, I’d recommend creating a Requested artists multiple checkboxes or radio property. Similarly, you’d create a Requested bundle property of the radio select type.

Once you have these properties, you would check whether these can be connected to your existing application form (is this a HubSpot form or a third-party form?). It would be easiest, if you created your application form as a HubSpot form. Any application would then capture all of the artist and bundle information right into the contact record.

Regarding the second part of your question: how to connect these new requests with artists? This is where things might become a bit tricky, especially if you let website visitors requests multiple artists. Generally, you would set up a contact-based workflow. This workflow would automate the process of checking new requests and notifying an artist. The enrollment trigger for the workflow would the submission of the form above. You could then send an email right to the artist, based on the choices made in the form. (This might require a Marketing Hub Professional subscription.)

Alternatively to a workflow that automatically notifies artists, you could use filtered views to identify those contacts who requested a certain artist – for manual follow-up. You would have an overview of all contacts who requested artist A and you could forward those requests to artist B (manually).

**bleep** will be in the detail and it’s hard to fully sketch this out in a post here, but that’s how I’d recommend approaching it.

This way I can connect our customers’ requests with all the necessary (deal-)information available.

To my second problem…

If I understand you correctly then there is no way to inform my artists automatically when we receive a new request (with Sales Professional). Therefore, we would have to do that manually, right?

I don’t know if its possible to switch from Sales Professional to Marketing Professional, but what else could I try? I thought about using a WhatsApp plugin (we normally inform our artists through that channel), but that also seems to be tricky.

Correct, you would need Marketing Hub Professional to send such notifications. You play around with the Zapier integration and see whether you can build a workaround. Out of the box however, you’d have to upgrade or manually notify artists.

@VinceMe The way I’d do it in regards to your 2nd problem is by setting up a workflow, which you’d need marketing professional for. The other thing you might be able to do is set up custom forms that email hubspot AND the artist if someone fills it out, but I expect you’d want to funnel inquiries through you? That begs the question why do you want to let your artists know that someone’s interested?
