How to best track renewals?

I’ve already read all the posts and watched the videos shared on renewals from other users, however our use case is a little different, so I’m trying to figure out the best way to do this.

Our offering is a mix of hardware, that is purchase outright and upfront (or leased) and has a 3 year warranty. However, a lot of our customers will keep using the hardware for up to 5 years, so we cannot assume renewals at the 3 year mark. However, when they decide to renew, they will purchase new hardware again, with a 3 year warranty.

Alongside this, is essentially a SaaS service offering. This is charge on an annual basis, and whilst it is likely that they’ll use the service for 3 years, they can scale down on an annual basis. If they were to scale up, they’d have to buy more hardware, so that would just be a new sale.

We also offer another yearly service, which could also be scaled down.

With the hardware, we’d like to inform customers 3-6 months before that they’ll be outside of warranty, and hopefully kick up any renewal conversations and figure out what they’re planning to do.

With the annual services, it’s fairly likely they’ll keep running annually.

At the moment we create and send 1 quote with both hardware and service fees, however the customers may or may not pay for the hardware and the service separately. These also might have separate start dates - as in, the warranty may start at a different date to the service commencement.

I’d like to use the Forecasts feature so that we can see what we’re expecting to come in monthly, yearly, quarterly etc, and when renewals might be coming up.

What’s the best way to structure this?

We’ve built a Recipe to handle Renewals. A Recipe is a small process that you can install in your HubSpot portal. This doesn’t require any third-party tool.
Here’s a video of how it works:

Renewal deals are created automatically for each closed-won deals with a known contract end date. Then, a task is generated with a reminder date XX days before that contract end date to notify the deal owner (or another user of your choice) that the renewal is coming soon.

Other settings and configurations are also available to suit your use case.
