How should I manage stale deals with past close dates in HubSpot?

A quick one that’s caught out almost every team I’ve worked with. HubSpot keeps counting a deal as open pipeline even when its close date is already in the past, until someone manually updates it. Nobody does, so they pile up.

The effect: your open pipeline and your weighted forecast are both overstated, sometimes by 15–20%, entirely from deals that should have been pushed or closed weeks ago.

How I keep it clean:

A saved deal view filtered to “open deals, close date before today,” reviewed weekly. Each one gets triaged, genuinely still alive? Push the close date to a real future date. Actually dead? Mark it closed-lost. Two minutes a week, and the forecast stops lying.

The first time you run that filter it’s usually a bit alarming how many are sitting there.

How often does everyone else clean these up - weekly, monthly, or only at quarter-end?

To add to what you’ve shared, in Sales Workspace, there’s a preset “Stale Close Date” view for deals with a close date before today.

HubSpot also supports relative date filters like before today / today for CRM filtering and workflows.

Thanks @Berangere , and honestly, I didn’t know about the preset “Stale Close Date” view in Sales Workspace, that’s genuinely useful, appreciate you flagging it. Might switch to that over my manual saved-view setup.

To answer your question: weekly for us, tied to a recurring Monday check so it doesn’t slip. Anything past due gets triaged same day, alive deals get a real close date, dead ones get closed out. Monthly reviews tend to let too much pile up by the time you get to it, and quarter-end reviews are basically just damage control at that point.

Review them weekly as well. I’ve found it’s much easier to keep the pipeline accurate with a short, recurring review than trying to clean everything up at the end of the month or quarter.

One thing I also look for is deals with no recent activity alongside past close dates. If a deal has an overdue close date and hasn’t had any emails, calls, meetings, or tasks for a while, it’s usually a good prompt to either re-engage the opportunity or close it out.

Keeping those two views in check has made forecasting much more reliable.

Weekly here too, but the cadence matters less than making the pile impossible to form. Tie close date to stage changes: every time a deal moves stage, the close date gets sanity-checked, and that is an exit criterion, not a favor. On top of that, a deal-based workflow that catches anything with a close date in the past and drops a task on the owner the same day, so nothing waits for the Monday review. The part that actually changed behavior for me: filter the forecast report so a deal with a past close date no longer counts as open pipeline. Once reps see it vanish from their own number, they update it without being chased. The preset view is nice, but visibility alone has never fixed this in any portal I have worked in.
