How do you approach HubSpot CRM implementation for a growing business?

We are currently exploring the best approach to implementing HubSpot CRM for a growing business and would really appreciate insights from people who have already gone through the process.

Since HubSpot can be configured in many different ways depending on business size and goals, we are trying to understand what should be prioritized first to avoid rework later.

What should be prioritized during initial HubSpot CRM setup?

What would you recommend focusing on during the initial implementation phase?

1. CRM structure and data modeling

  • How should CRM properties, fields, and overall data structure be planned from the start?

2. Data migration strategy

  • What is the best approach for migrating existing customer and deal data into HubSpot?

3. Sales pipeline design

  • How do you design sales pipelines in a way that stays simple but still scalable as the business grows?

4. Automation and workflows

  • Which sales, marketing, or service workflows are most valuable to automate early on?

5. Integrations planning

  • What integrations (email, ERP, accounting, support tools, etc.) should be considered from day one?

6. User roles and CRM governance

  • How do you typically handle user roles, permissions, and CRM governance in a growing team?

7. Common mistakes to avoid

  • What are the most common mistakes or pitfalls to avoid during implementation?

Lessons learned from real HubSpot implementations

For those who have already implemented HubSpot CRM, what do you wish you had done differently in the planning or setup stage?

Any practical advice, lessons learned, or real-world examples would be greatly appreciated.

Hello @Oodles_erp I’ve been through a few CRM setup conversations, and one thing that stands out is that getting the foundation right matters more than building a ton of automation upfront.

If I were setting up HubSpot from scratch, I’d go in this order:

Step-01: Get the data model right
Define the properties, objects, and data you actually need.

Step-02: Clean before migrating
Clean up duplicates, outdated records, and inconsistent data before moving anything into HubSpot.

Step-03: Keep pipelines simple
Build around your actual sales process instead of creating stages for every exception.

Step-04: Automate the repetitive stuff
Start with lead assignment, follow-ups, notifications, and lifecycle updates.

Step-05: Plan integrations early
Figure out what data needs to move between HubSpot and your other systems before connecting everything.

Step-06: Set ownership and permissions
Be clear about who owns records, who can make changes, and who maintains the CRM.

Step-07: Plan lead routing early
If you have multiple reps, territories, or account ownership rules, think about routing from the beginning. LeadAngel, Chili Piper, and Distribution Engine can work alongside HubSpot for more complex routing logic without making the CRM itself overly complicated.

The biggest lesson? Don’t try to build the perfect CRM on day one. Build a clean foundation that you can actually scale.
