How do I trigger an email for internal users when they sent me a logged email?

I am creating some video training for our new reps (HubSpot users) and the first module is about integrating their email with HubSpot and downloading the Outlook add-in. To continue to the second module I want them to do a task: send an email to a test account correctly logged and tracked on HubSpot. Is there a way to automate these processes, so they will be automatically notified (and myself) that they completed the first module and in that email, they will receive the link to the second module? How do I trigger that notification email when they complete the task of sending the logged email to the test account?
The new reps are in different teams and there is no identifier for the newbies.
