Add and remove users
You will create an account for each user and it sends them an email, asking them to put in some information. The information they enter seems to be for analytics, and will not affect their account privileges/permissions. So if their exact role is not listed, pick the closest one! This will help with HubSpot’s analytics and should not be a deterrent for your sales team users. Once they put in their information (2 min), they are set to go and can start using the tools your account has access to. I HIGHLY suggest getting familiarized with HubSpot and getting to know all the new possibilities you have via the HubSpot Academy. (Training and best practices videos to help you learn about their tools).
Connect your personal inbox
Add Gmail integration. Once you have done this, keep in mind all emails will record to an existing record or create a new record if matching email addresses are not found in HubSpot. There is a checkbox button on each email that allows you to log the email to HubSpot (and attach to an existing record or create a new record.)
If you do not want internal emails being attached to a HubSpot record, you can change this in the settings.
Settings > Email Integration > Log and Track > Domains and emails
You can block your own domain xyz@xyz.com or specific email addresses.
Create a conversations inbox
Create a conversation inbox for the 3 users (4 if it includes yourself) and this way any emails coming through can be seen by all.
We personally also have an Outlook Distribution list (xyz@xyz.com) that sends to each person on that list individually. Or if you have a shared email address used by that team that is checked on a daily basis, I set most tasks and notifications to that email so if someone is out, another representative can follow up. Speed to lead!
Also, here is how to create the report you asked for (you can add it to a dashboard as well)
Reports > Reports Library > Sales Team > Email tracked to reps’ inboxes

View the latest emails tracked with HubSpot to your reps’ inboxes. See who the email is from, the subject line, and first few sentences. As well as the date and time received."
