How do I find out where form submissions are being routed to? How do I see who gets notified when a published form has a submisson?
There are actually two separate things to check here: where a form’s submissions get routed (i.e., which contact/records they create or update), and who gets notified by email when that happens. Here’s how to check both:
1. Where submissions are routed
Form submissions in HubSpot don’t route to a specific inbox by default — they create or update a contact record in your CRM, and the data maps to whatever properties are set up on the form fields. To check this:
- Go to Marketing > Forms
- Click into the form, then the Field settings — each field shows which contact property it writes to
- If you want submissions to also go somewhere else (a specific list, a workflow, a deal, etc.), that’s controlled separately via workflows, not the form itself
2. Who gets notified on submission
This lives in the form’s own settings:
- Hover over the form in your Forms dashboard and click Edit
- In the left panel, click the Settings icon → Submission settings tab
- Under Real-time submission notifications, you’ll see two options:
- Notify contact owner — sends to whoever owns that contact record (note: if the contact has no owner yet, nobody gets notified this way)
- Add users to notify — a dropdown where you manually pick specific users or teams to always get notified, regardless of ownership
One thing that trips people up: even if a form has notification recipients configured, each user also has to turn on form-submission notifications personally — go to Settings > Notifications > Email & Desktop, find Form submissions, and make sure it’s toggled on. A form can be perfectly configured and someone still won’t get emailed if their personal notification setting is off.
If you need more advanced routing — like different people notified based on lead source, region, or form field values — that requires a workflow, since the default form notification only supports the two options above.
