I want to ask a series of questions of known contacts over time (using an “email” is “known” as a potential trigger), and save the responses in custom properies that I’ve already set up.
What I can’t figure out is how to ask a series of five short questions to known contacts to be asked over time via a workflow. I don’t want to ask them all at once as that can be off-putting.
Please note that we do NOT have Service Hub, and I’m not going to get it for one task - but I do want to know how I can have the workflow controlling if a form (or just one field element of a longer form) is to be displayed. I also need to capture what I seek in my custom properties, and then after 3 or 4 future visits, the next question is posed, and so on until I have all five questions answered, and we have better customer profiles.
I’m assuming that I will need to create 5 custom forms, but maybe this is something that could be done in one form, with past and future questions hidden from view, sort of like progressive profiling. I’m really not sure how to best do this, so both on the forms and the workflow proper, I’m open to suggestion.
Has anyone done something like this before? If so, please share!

Hubspot does have progressive fields in forms so you could potentially have someone fill out the same form multiple times ( Use progressive fields in forms (legacy) ). You could then use if/else statements in your workflow to look for the fields having values instead of looking for form submissions over and over to see if they are going through the form.
Thanks for the idea, but I still can’t see how, within a workflow, to expose a form to a contact, especially if I want to use it in a pop-up or slide out. Per the link you sent:
- Progressive fields can only be used with Regular forms, they cannot be used with pop-up forms.
So how do I get the actual form in front of the right contact with the right question at the right time, using a workflow? I’m stumped.

Can you provide some more context - what’s the business, what are the questions, and why do you feel you need to ask them over time instead of at once? Also what is the criteria for me potentially being asked those questions - if you use an email is known trigger, that is very broad and all encompassing.
I can see the following options:
- You have 5 different forms, one to ask each question.
- Use a combination of CTAs and Workflows to get answers when people click a CTA in an email.
- Use progressive profiling on one form to queue up the question.
To be honest, personally I don’t fancy either of those options and would rather look at the process, what questions to ask when, and try to keep things as simple as possible.
