Summary of the problem
We want a way to retain contact and ticket history for reporting and operational visibility, while also making sure certain contacts are treated as inactive / do-not-contact.
The specific need is:
- keep the contact record and all historical data
- keep associated ticket history and reporting intact
- prevent or strongly discourage agents from sending manual emails to these contacts from tickets
- make the contact’s inactive / do-not-contact status highly visible at the moment an agent is about to send an email
Current product gap
This is not well supported in HubSpot today.
Current workarounds, such as:
- setting a custom contact property like Inactive or Do not contact
- showing that property on the contact record
- surfacing it in ticket or help desk views
- unsubscribing the contact from marketing email
do not solve the real problem when the team only uses manual one-to-one email from tickets.
Why:
- Marketing opt-out does not block one-to-one emails
- A custom property can be used as a visual flag, but it is not a reliable enforcement mechanism
- There does not appear to be a native feature that:
- blocks manual send from a ticket
- shows a mandatory warning at send time
What we want to achieve
We want a solution where a contact can be marked with a status such as:
- Inactive
- No outbound communication
and that status should affect the agent experience when working from a ticket.
Suggested solution
Option 1: Hard send block
When a ticket-associated contact has a specific property value, block manual email sending from the ticket UI.
Example logic
- If
contact.communication_status = do_not_contact - Then disable Send email from ticket / help desk reply editor
- Show a clear message explaining why sending is blocked
Option 2: Soft warning with override
If a full block is too strict, show a prominent warning before send.
Example behavior
- On email compose or send:
- detect contact status
- show modal warning:
- “This contact is marked as Inactive / Do not contact.”
- “Are you sure you want to send this email?”
- Require the agent to:
- confirm explicitly
- optionally provide a reason for override
- Log the override on the ticket or contact timeline
Refering too a old post here as well Make it visually clear when a contact is inactive . Same problem, but even more important when working from helpdesk
