Help needed to connect IONOS account

I need some help please.

I’ve been using Hubspot with a gmail based account for one of my freelance clients, and thought it would be a great tool to use when working for another of my clients. That was easy to set up and has proved really useful.

So I thought I’d set up a similar account for another client I work for. With Client 2 our email is hosted via an IONOS account.

I cannot for the life of me work out how I can connect the email inbox on Hubspot so it looks like it’s going via my IONOS address.

It says it should be a Microsoft Exchange login, but I can’t see how to make that work.

Is there another way I can use Hubspot to email potential clients and keep track of all email activity, and to the client is looks like it’s from my regular email address?

Any help, in very simple steps, would be much appreciated.

Thanks

Hey @MaryG2, thank you for posting in our Community!

To connect your IONOS email to HubSpot, start by getting your IMAP and SMTP settings from IONOS. In HubSpot, go to your email integrations, select “Other (IMAP),” and enter your IONOS email details, including the server information. Once connected, you can send and track emails through HubSpot, and they’ll appear as if they’re from your IONOS address.

If you need any more help, feel free to ask!

Kindly,

Pam

Hello,
I have the same issue with setting up my IONOS mail. I tried the settings and it’S not working. I tried connecting through SMTP with Outlook client and it works (so the problem is not with IONOS).
I get in HubSpot the message: Unauthorized access (But there is no issue with my password).
Please help otherwise Hubspot makes not much sense for me.

Hello YosTsa,

I have exactly the same issue. Did you find any answer here?

Hi! I’m having the same problem. I tried to follow the solution steps, but it seems the menu has changed because I can’t find it. Help!

Hi @EMessones

Thanks for jumping in here — you’re definitely not alone, and the inbox connection UI has changed over time, which makes older guidance hard to follow.

I’d like to invite a few Community members who are very familiar with IONOS email setups and HubSpot inbox connections to help clarify the current, correct steps.
@HRoss47 @DanielleLJ @RubenBurdin — hope you’re all having a great week! Have you helped users recently connect IONOS-hosted email to HubSpot (via IMAP/SMTP or Exchange-style login)? Any updated, step-by-step guidance — especially given recent UI changes — or known limitations around authorization errors would be really helpful here.

Really appreciate any insights you can share to help unblock this.
Best,
Victor

@Victor_Becerra sorry, wrong Danielle

Hi @EMessones

Jumping here since we haven’t had any replies yet.

I checked the documentation and found out this:

You’re right that the menus have changed since the original reply, but you can still connect IONOS as a personal inbox via IMAP. The path now looks like this:

In HubSpot, go to Settings → General → Email → Connect personal email.

Enter your IONOS email address.

When HubSpot asks for the provider, choose Other mail provider (IMAP).

On the IMAP screen, fill in your IONOS details:

Email address: your full IONOS email (e.g. you@yourdomain.com).

Password: the mailbox password (or app password if you use 2FA).

If HubSpot doesn’t auto‑detect servers, expand Advanced options and add:

IMAP server: imap.ionos.com, port 993, SSL/TLS

SMTP server: smtp.ionos.com, port 587, TLS

Username: usually your full email address

Click Connect inbox and wait for HubSpot to verify the connection. As long as your IONOS server meets HubSpot’s IMAP/SMTP requirements (TLS, correct ports, no Courier‑IMAP, valid certificate), the inbox should connect and send/log emails as your IONOS address.

Sources for additional context:

Connect your personal email (including “Other mail provider (IMAP)” flow):

Technical requirements for IMAP/SMTP (ports, TLS, certs):

If you’re still not seeing the IMAP option or you hit an “unauthorized” error after entering the correct server details, the next step is usually to have IONOS/IT confirm IMAP is enabled and allowed for that mailbox, then cross‑check against HubSpot’s IMAP requirements in the article above.

Please let me know if helps

Best, Victor
