Google Calendar meetings aren't connected with Hubspot

Hello,

We have the following situation:

Let’s say we scheduled a meeting into the Google Calendar normal. As usual. We are talking with the client, and we give them a meeting request through Google Calendar.

Now, the situation is that we want the meetings we’ve booked through Google Calendar to be seen in the activity on the contacts/deals.

What is a workaround for this?

Thanks,

@SMAlexander why not schedule the meetings with clients through the HubSpot meetings tool?

Too complicated.

I have found a very simple solution. I will put it here maybe it will help others as well.

There is a way to sync automatically the Google Calendar with Hubspot contacts/deals.

1. Go to any deal.

2. Click on “Meet” button, is on the left, near the others: Note, Email, Call, Log, Task, Meet

3. You have near “Save”, something with connect google calendar/sync google calendar.

4. Connect the Google Calendar, sync it. It just a few clicks.

5. Issue solved easily automatically.

NOW, all the meetings you have on Google Calendars, it will automatically be synced within Hubspot.

In this way you have to start creating meeting always from Hubspot.

But ..what if..We create a new meeting on google calendar and then we want it to be saved automatically on Hubspot?

Hi @DeskMaka,

You can manually log a meeting in HubSpot if it originated in Google.

Thank you,
Jenny

Not a good solution for most companies. Most of the time marketing and sales have meetings with others in the company who do not use Hubspot.

This is my meeting in Google.

This meeting does not and will not appear in Hubspot Sales-->Meetings. They never do.

Hubspot site says that it should two-way sync, it does not. False statements? Or where am I going wrong?

Hello @insanenutman77,

Just want to confirm if you are trying to connect your calendar to HubSpot and it’s not possible? If so, this article here will explain more reasons why you are not able to connect your meetings.

If this is not what you are referring to, The more information, screenshots, and details you can provide, the better I can advise on the next steps.

Thank you,

Pam

Exactly. Or you got a meeting invitation from the prospect, click yes, it appears in Google Calendar … but not Hubspot.

This is the specific situation where I’m having sync issues.

These are my scenarios:

  • If I send the invite in Google Calendar it is pushed to Hubspot.
  • If I create a meeting in HubSpot it is pushed to Google Calendar.
  • If I accept a meeting in Google Calendar it is pushed to Hubspot.
  • Meetings created and accepted prior to integrating Google Calendar are not syncing.

It appears it works if there is a push/pull event once the apps are integrated. However, there does not appear to be true sync between the apps.

This is exactly the issue I am having aswell

Doing this, doesn’t makes my appointment appears into Google Calendar, probably something got broken from HubSpot side.

There’s a new weird behavior which only my prospect receives the invitation generated by HubSpot, but it doesn’t shows up into my Calendar (same e-mail as the user).

Hello @reinapolis and @MartinVercouter

Could you please provide us what were the steps taken when booking this meeting? Is your calendar connected to HubSpot? Did the prospected booked the meetings using the HubSpot meetings link?

The more information, screenshots, and details you can provide, the better I can advise on the next steps.

Kindly,

Pam

It was fixed itself, probably an API temporary problem.

The steps were booking the meeting, selecting my prospect contact with the required information to accomplish the booking.

Only prospect was receiving the meeting invite in Calendar, now I’m also receiving it.

Thanks in advance,

R.

@reinapolis thank you for letting us know!

Kindly,

Pam

Hi @Pam

We use the Google Calendar sync with Hubspot and we also use Calendly for booking. Calendly bookings are logged in a custom calendar in Google, not my personal calendar. Is there any way to sync the custom/shared calendars fron Google Calendar to Hubspot?
I’m referring to tip 1 from this article The HubSpot Marketing Blog on the Hubspot blog. We’re using this feature to keep certain calendars separate, but they’re still relevant for Hubspot.

Hello @ktzetzos ,

Besides using the integration from Calendly and HubSpot, are you currently using the option on this article here?

The Google Calendar and Outlook Calendar sync with HubSpot allows you to simultaneously log a meeting in your CRM.

I hope this helps.

Kindly,

Pam

Hi Pam,

Yes. I’ve already synced my calendar with Hubspot. The challenge is that I’ve made a separate calendar in gmail, which I’ve shared with others to keep certain calendars separate visually. Unfortunately, any event we log in that calendar is not syncing into Hubspot. We don’t have a paid calendly account currently so we actually can’t use the Calendly/Hubspot integration.
