Free CRM contact limit email says 801 contacts, but HubSpot UI shows 588

Hi everyone,

I’m seeing a mismatch in my HubSpot free account contact count and I’d like to understand which number is the real stored contact total.

My portal received an email on March 30 saying:

“You’re currently using 801 out of 1000 contact records assigned to your account.”

However, inside the portal I currently see:

  • CRM > Contacts > All contacts = 588
  • Data Management > Data Model > Contacts > View details > Usage = 588
  • Data Model > Overview also shows Contacts: 588 records

I also checked the following:

  • no advanced filters applied
  • no records available to restore
  • in my Data Model interface, I do not see the Limits tab, so I can’t verify the official stored-record count there

My account is Free.

Has anyone seen this kind of mismatch before?
Could the email be based on an older snapshot, or is HubSpot counting contacts somewhere else that isn’t visible in the current UI?

If you’ve checked restorable contacts and verified that you’re looking at an unfiltered view, then this does indeed seem like HubSpot’s count in the email is outdated or generally off.

On the free tier, there is unfortunately no option to contact support directly to verify what’s going on. I would probably not think too much of it - should you run into a hard limit before actually reaching the 1,000, you can return here and we can tag the community managers to investigate.
