Form Fill Emails being held in HubSpot

Hi

Recently we discovered that HubSpot were holding form fill emails due to a domain not being on the Additional site domains list. Once the domain was added the form fills were released.

However I’d like to check that there are no more form fills being held somewhere within HubSpot but I can’t find where they would be.

Any help would be grateful.

I’m not sure I fully understand, can you elaborate?

Are you saying that you had a form embedded on website domain1.com - which was previously added to HubSpot, but you also had forms embedded on website domain2.com. This domain wasn’t added to HubSpot so the form submissions weren’t being sent to you. You then added domain2.com and you started getting the form submissions? Did you get the previously submitted ones, or only new ones from that point?

So hold tight, this is bit of a long one.

We have had a HubSpot form on a web site since April 2023, everything had been working fine - all form fills had be notified to the correct emails the entire time. Then in the later end of October 2024 my client started to go through unassigned contacts (for bit of a clear out) and noticed that she’d hadn’t received the email notifications for a few of them.

After doing some digging within HubSpot we discovered that the emails for the form fills were sitting in a spam folder, apparently the domain that they’d come from (the exact same one since April 2023) wasn’t on Additional Domain site list.

Once the domain was added the email’s for the form submissions were sent to myself and my client. However, it now turns out that not all of the email’s were sent to us.

Everything is back working now as it should be but my client is worried that it might happen again and I just wanted to find out if there was a way of finding this Spam folder again. But I have a feeling that it only appears as and when it’s needed.

Again sorry for the long story and I’m not sure there is a solution but wanted to see if anyone else had had the same problem. Also confused as to why a domain that works working fine decides to drop off.

I think I’m following - you’re referring to the spam filter on whatever email system being used, correct?

All of my notifications from HubSpot come from @notifications.hubspot.com. I have experienced some notifications going to spam, but it hasn’t been consistent.

I don’t believe anything has changed on the HubSpot side that would have resulted in those notifications going to spam. Potentially one or more was marked as spam accidentally on the internal system which resulted in future emails going to spam. It started working again because that email domain as marked as safe. This is just a guess though.

If it continues to be an issue and you have access to Workflows, you could create a marketing email template that pulls the properties from the form submission as personalization tokens and you can control the specific email address that it comes from.

Thanks again - the email system isn’t the problem, we found the email submissions within HubSpot. The form had been completed totally fine but then the email had’t made its way from HubSpot to the email system.

Once the domain was added we got an influx of form submission emails to our email system but not all of them!
