Hi HubSpot team,
Please add a way to exclude specific companies, contacts, and deals from a user’s visibility.
Today, permissions are based on ownership and teams, but there’s no native way to say:
This manager can see all of their team’s records except these 1–2 sensitive accounts and related records.
That creates a real problem for companies that need broad team visibility with a few confidentiality exceptions.
Current workaround
The only real workaround is to:
- create a separate team or owner structure
- move the sensitive company records
- also reassign all associated contacts and deals
- carefully manage hierarchy and permissions
That’s a lot of admin overhead for just a handful of restricted records.
Suggested improvement
Ideally, HubSpot would support one of the following:
- record-level visibility exceptions for specific users or teams
- an exclude these records rule on top of existing permissions
- a sensitive record setting that limits access to approved users or teams
- automatic restriction of associated contacts and deals when a company is marked restricted
Why this would help
This would let admins:
- keep normal team visibility in place
- protect a small number of sensitive accounts
- avoid complicated ownership and team restructuring
- reduce the risk of accidental exposure
I think this would be especially valuable for businesses handling confidential accounts
