Feature request: Add recurring meetings from calendar in HubSpot

Hi,

I would love it if is was possible to automatically sync recurring meetings fra Outlook / Gmail Extension to HubSpot. There are a lot of meetings with customers that is recurring, and its not optimal that they are not synced to HubSpot if there arent any cancellations.

Here is what hubSpot is offering at the moment:

For recurring meetings, HubSpot will only sync the first event in the series. If another event in the series changes, or attendee response changes, the updated event will sync to HubSpot. For example, if someone cancels one particular week for a regular weekly meeting, it will trigger that week’s event to sync to HubSpot.

Hi @CAndresen,

This is unfortunately not possible at this stage. However, other users have requested this before: https://community.hubspot.com/t5/HubSpot-Ideas/Recurring-Meetings-Tracked-After-1st-Event/idi-p/697447

These requests submitted to the HubSpot Ideas section of the community are reviewed by the HubSpot product team, based on their popularity and the assumed demand. I’d recommend commenting and upvoting.

You can also help other HubSpot users find this request more easily (and drive traction) by accepting my reply as a solution. I’d appreciate it, too.

Have a great day!

We are tracking our Sales teams’ activity including meetings, but our data is incorrect since recurring meetings aren’t logged. We need a way to automate this so Sales doesn’t have to manually log these meetings. Can you please add? Thanks!

I agree with both above. No need to respond to me directly because I know it isnt possible to do in HS at this time, but as an account manager with monthly reoccurring meetings this would make my life easier, and the reporting behind it more accurate with less manual uploading.
Simply adding my 2 cents for more usecases and evidence behind the why, for adding this.

Hi @CAndresen and everyone,

This is now possible :slightly_smiling_face: HubSpot Login and Sign in

Sync Recurring Meetings to HubSpot

What’s changed?

Added clarification that only recurring meetings created after joining the beta will sync automatically; introduced instructions for manually syncing pre-existing recurring events by editing them in your calendar.

Important note:

  • This beta will automatically sync in any recurring meetings that are created after joining the beta
  • If you already have recurring events that you would like to sync into HubSpot (but were created prior to joining this beta), you can still manually trigger them to sync into HubSpot by making an edit on one of the recurring events in your calendar and selecting to update “all events” or “this event and following events”.
    • This only needs to be done once for each recurring series
    • After HubSpot is notified of the event through this manual edit, we will automatically sync future instances of this recurring series into HubSpot for you

What is it?

Now you can sync recurring meetings to HubSpot via your connected calendar.

Why does it matter?

With recurring meetings now in HubSpot, you can prepare, review, record, and follow-up on those meetings from within your CRM.

Previously, HubSpot was only able to sync the first event of a recurring series from your calendar. Now, all future events will also be able to sync to HubSpot, ensuring that all of your data is where you need it most.

How does it work?

If you already have your calendar synced to HubSpot, there are no actions needed on your side. We will automatically begin bringing in recurring meetings and syncing them to the associated contacts/objects in your CRM when you join the beta.

For those that have yet to connect your calendar or turn on calendar sync, you can do this with the following steps:

  • Navigate to Settings > General > Calendar
  • Connect your calendar
    • Calendar sync will automatically be turned on through this connection flow
    • If you calendar is already connected in HubSpot, just make sure you have the calendar sync setting turned on

Recurring meetings are capable of extending indefinitely into the future in connected calendars. For this reason, we will not sync every single recurring event into HubSpot all at once.

Instead, we will sync the next 5 upcoming events in the series up to a year in advance. This way, you can see your most relevant meetings at a glance, not have a ton of future events cluttering your views, and know that future events will continue to sync in automatically as you progress through your recurring meetings.

You’ll be able to see your recurring meetings on any CRM record, in the Meetings index page (beta), and on the Schedule tab in the Sales Workspace or Customer Success space.

This launch does not include the ability to create recurring meetings within HubSpot. Recurring meetings must be created on your connected calendar.

Who gets it?
