I recently discovered that my custom report, which includes multiple objects (Deals, Line Items, and Companies), cannot be scheduled as a recurring email with an exported data file attachment.

I created a workaround by including a link to the report so that the recipient can export the unsummarized data themselves, but this is not sustainable as it requires the recipient to take additional steps when it could (and should) be automated.

Why this is important:

These types of multi-object reports are critical when reporting to Executive teams and will ensure the value of HubSpot as a chosen platform when lobbying for ongoing budget.

While it’s not possible at the moment to export reports with more than one data source, this is something on our product team’s roadmap. We don’t have an estimated timeline for this becoming available yet, so I wanted to share an alternative solution in the meantime. :slightly_smiling_face:

A Customer Support Specialist has shared the following option that may help in the meantime:

Exporting reports with multiple data sources should be possible with the following workaround, where the associated record metrics are saved into custom properties on the primary object’s side. We can then create a single object report using the primary object and set up a recurring export with attachments.

  1. For example, if the custom report builder uses Deals as the primary source and Contacts and Companies as the secondary ones, we would start by creating custom Deal properties for each Contact and Company metric that needs to be included in the report (if you don’t already have custom properties created for these).
  2. Create a workflow (it could be a Deal-based workflow or it could be Contact/Company workflow, depending on the criteria that we need to look at for the associated records) and have the workflow copy the Contact and Company property values to the corresponding custom Deal properties that we created in Step 1.
  3. Once all properties are copied, we can now build a single object report using Deals as our data source.
  4. The custom properties will need to be added to the single object report, and once we save it, we can set up a recurring email with an attachment with the single object report.

I’ll be sure to update this post once any further updates are available for a more native feature for exporting this data. Hope this helps in the meantime!
