I could not find an explicit advice or knowledge base article and I was wondering how you are handling this:
I see some problems when someone is entering a deal for our own company (which may happen because they are inventing a product without having a real customer so far).
That means, that all mails for deals from internal users are associated to that deal.
Unfortunately the knowledge base article about never log doesn’t say anything about the own company:
Exclude recipients from CRM email logging
And I could not find the topic here in the community.
The activity-associations are set like this:
1) Object: Company, Activity: E-Mail → Log activity Deals: None
2) Object: Deals, Activity: E-Mail → Log activity Company: Log to primary company
So from my point of view it’s the minimum for logging.
The two simple solutions for this problem would be:
1) Not using our company domain for these deals (like internal-product.com)
2) Adding our own companies domain to the never log.
For 2) I would also expect that mails are not logged anymore in our company and in the user records - which should be fine.
Question:
Do you see other problems when putting the own company domain in never log or did you already enter it?

Can you clarify a bit more around the process of a user creating a deal associated with your own company? Specifically, are users creating deals from your company record, or are they creating them on the Deals page? I’m wondering if there needs to be an association selected at all. Testing this in my own portal, for example, I can create a new deal from the Deals page and not select to associate it to any Contacts or Companies. And if your users require a means by which they can keep track of these types of deals, you can always create a custom pipeline that would house these deals until they’re ready for a proper association.

Hi @STierney , thanks a lot.
well, in our setup the company is a mandatory field. As it happens not regulary I would not setup a pipeline for it.
But the problem is that Hubspot assigns all communicaton from the colleagues with that deal.
And in general we find all communication in our company profile and all user profiles - which seems not to be necessary for me, because the primary source for searching an information is the customer.
So I was wondering if this never log for the own company is something other are using to avoid this?

@HWegner1 hey there Hans. So if I understand your general question, are you considering whether to “never log” your company domain? And what the ramifications may be?
In my various uses of HubSpot, I’ve leaned toward not logging internal emails, yes. I typically add my company’s domain to the never log list, since we send untold amounts of emails. This way I’m only logging emails for relevant prospecting and marketing, etc.
This approach is a standard recommended & practice to avoid internal email noise in deal and company records. The downside is that if internal emails contain deal-related information, such communication will not be visible directly within HubSpot, so alternative means (notes or tasks) may be necessary for important internal updates.
If it were me, I’d probably create a “demo company” in order to associate deals to that as you’ve described. If it’s a new product/invention as you’ve described it, I don’t necessarily see activities like emails being necessary to log and track.
