Allow a user to generate an export or add contacts in a marketing event to a segment. Example, Create a list from all attendees, Registered etc. (Ideally make this automatic to create an active list with each marketing event based on Status).
Right now it’s so convoluted to manage events and post event communications, filters aren’t clear, buried or mildly useless (last registered event = XYZ) imagine you have back to back events and a contact registers for multiples - how do we isolate to communicate effectively.
Hi Melly,
You have my vote. The “last registered event” property only ever holds one value, so the moment someone registers for two events in the same month it stops telling you anything useful.
There is a partial way through this today, though it’s easy to miss. HubSpot has segment filters that work per event rather than “most recent”, and that’s the bit that matters when your events run back to back:
- Go to CRM > Segments and click Create segment.
- Choose Contacts, then Next.
- Click Add filter, open the Events tab and choose Marketing events.
- Pick Registered for marketing event, Attended marketing event, or Canceled marketing event registration.
- Choose the specific event and save.
Because the filter names the event, someone who registers for three events in a row shows up correctly in all three segments. Which one was “last” stops mattering.
Once you’ve built a segment this way, it also appears in a Segments section on the marketing event record itself, so you can find them again from the event rather than digging through your lists.
That said, I do think you’re right about the gap. There’s no export button on the event record, and nothing creates the segment for you when the event does, so on a busy calendar you’re building the same thing by hand every time. That’s the part HubSpot should fix.
If you’re setting participation status yourself rather than syncing it from a webinar tool, have a look at the “Add participant to marketing event” workflow action as well. It needs a Professional subscription and only works on events created manually in HubSpot, not ones synced through an integration, but it takes some of the manual updating away.
Full disclosure: I build an events app for HubSpot called EventEngine, and post-event communication is a fair chunk of why it exists. Each event carries its own registrations and its own emails, so the follow-up never leans on a “last registered” property. Happy to just talk through the native setup though if that’s more useful, no pressure either way.
