How can I send an email to an email alias upon a deal reaching closed won stage?
I need to notifiy our finance team when a deal is closed. Since it is an alias, we do not want to create a HubSpot user nor a HubSpot contact. There does not appear any way to just enter an internal email address within a worflow and I am stumped on how to automate the notification to our finance teams.
Does anyone know of a custom code solution or some method I am missing to simply send an internal email without requiring an account be created in HubSpot?
What is the reason for not wanting to create a HubSpot user? It is the easiest way to accomplish what you want. The reason why can’t just add any email - internal or not - to send CRM information to, is for security reason. Creating a HubSpot user means the email is verified and you can use it in workflows to send internal emails when deals reach the closed won stage.
There are multiple reasons why creating a user for an email alias is a bad design. The most important would be the security concerns with a shared access account.
For instance, today we might use a finance@ alias. In the future the team grows as we need to segment into AR@ and AP@ aliases to address receivables vs payments.
In all these cases, it is an alias of 2 or more people. A basic security principle of a login is to identify the individual accessing a system. That would be very hard to do if the acount is shared with anyone assigned to that email alias.
I stand by the main point. It makes no sense for HubSpot not to allow email to internal addresses as a matter of function.
Do you happen to use Teams or Slack? With Hubspot, you can post messages in those and perhaps it might be easier to create a Teams channel, or to send a notification to a Teams user instead of a Hubspot user.
