Email Bounce List in Contacts

I am trying to clean up my data base. I use sequences a lot! I have emails that are bouncing and I want to un-assign those leads so I don’t keep getting the bounces. There is still some good info on them but, their email is invalid for whatever reason. When I look in the sequence I can see who bounced but, when I am in my contact list for some reason I can’t filter them out. I feel like I have tried every filter and I might capture 2% of the actual bounces.

Does anyone have any guesses of what I should do? Thanks in advance!

Hi @HydraulicSteve,

If you update the email address on these contact records, they can receive emails again, under the same contact record. Generally, however, I would recommend trying to find out what the new email address is and then creating a new contact record. Here’s why:

The old contact record is likely associated with information and activity specifically with that contact’s role in the old company.

I’d update the old contact record accordingly (Lifecycle stage is Other, Lead status is Left company) and keep the new record that was created through the inbox. If there is any information that can be carried over, I’d update these fields manually.

To avoid confusion, I’d pin a note on the new record, including a link to the old record and vice versa.

To find all bounced contacts to begin with, you’d filter for “Email hard bounce reason is known” on the contact index page (Menu > Contacts > Contacts > More filters). If you want to better understand this property, this article is helpful: https://knowledge.hubspot.com/email/what-is-the-difference-between-a-hard-bounce-and-a-soft-bounce

This should show you all bounced contacts.

Let me know if you have any follow-up questions!

Thanks for the reply Karsten! I have done what you are saying and when I run that filter like I just did I got 7 contacts that had bounced. I have over 200 that have bounced. I am using microsoft Outlook and I think that may be the problem. I am trying to avoid going in and changing them one by one but, it looks like that maybe the only way to do it. If you have any other suggestions please let me know. Thank you so much for your help so far!

Hi @HydraulicSteve,

Where are you getting the 200 from? Contacts with “Email hard bounce reason is known” are the ones that HubSpot recorded a hard bounce for. If they don’t have a value in that property, they haven’t bounced in HubSpot.

There might be third-party tools that can help with this but eventually, this is research: You’re checking whether these contacts are still working in the same company or are at a new one. Regardless of the assisting tools, it will always be a manual process.

Best regards!

I am getting it from my inbox but, for some reason HubSpot is not picking them up. When I go into the contact I see the reply from ther server letting me know the email bounced. I think you are right I am just going to have to do the work haha.

Thanks for the help!
