Dynamics CRM Integration Tips, Tricks, and Best Practices in HubSpot

HubSpot has informed me that it will mark Dynamics contacts as duplicates if it has an email in the secondary email address field. Has anyone else run into this problem, if so what did you do as a solution?

Their recommendation was basically delete all secondary email addresses in our CRM which is not a viable solution.

Hey @GWalsh, thank you for posting in our Community!

One alternative is configuring the integration to map secondary emails to a custom field in HubSpot instead of the primary one.

I want to invite our top experts @TomM2 and @Lucila-Andimol any other recommendations for @GWalsh matter?

Thank you,

Pam

Hi Pam,

Unfortunately this is not the issue - the sync is failing on contacts due to secondary email addresses in Dynamics, not because of the field being included in the sync (it is not.)

Any other thoughts welcomed!

Hi, have some ideas for you.

When HubSpot syncs data, it sometimes sees multiple emails for the same contact. This can cause it to think there are duplicates. HubSpot suggests deleting all the extra emails, but that’s not always a good idea. Those emails might be important for your business. Start by checking your sync settings between Dynamics CRM and HubSpot. Make sure HubSpot only uses the main email address to match contacts. You can often set custom rules so the extra email field won’t affect duplicate checking. If you’re using tools like Power Automate for this integration, adjust the flow. Make it ignore extra emails when syncing to HubSpot. This can help stop duplicates from happening in the first place.

You can also reach out to Dynamics 365 CRM consultants Hire Microsoft Dynamics CRM Consultant for more help or see if there are better ways to set things up.

Another option is to change your CRM. This could help you manage extra emails without messing up HubSpot’s duplicate checks. Consider adding a new field or a different contact type for those extra emails in Dynamics CRM.
