Does anyone have best practices to have users view reports while hiding PII on contacts.

We have users that we want to be able to view reports on contact totals but we don’t want to give them access to PII on individual contacts. I’ve explored field-level permissions and limiting permissions to contact but limiting view permissions on contact prevents the contacts from showing up in reports entirely and PII fields like name and email cannot be hidden. I wanted to see if anyone has run into this issue or had any ideas on resolve this situation. I know that exporting/emailing the reports is an option but we wanted to have the users to be able to view the reports in HubSpot themselves.

Hi @RyanW21,

I would’ve suggested restricting view permissions for properties: Manage view and edit access for properties - but it sounds like you already tried that and it’s hiding the contact entirely? If so, then that’s either a bug or hasn’t been taken into account by the product team during development.

Yes, I looked at property-level access, unfortunately for us, the PII fields we’re looking to hide cannot be view restricted.
"You cannot restrict view access to the following properties:

  • Contact properties
    • Email address
    • First Name
    • Last Name"

If I restrict a user’s view permissions to only records they own, then the remaining users do not appear in reports. I hope that this clarifies, thanks!
