Display number of contacts in a workflow delay

It was a very unnecessary change, even an unstable (but relatively close) number is better than no number at all to be honest - now I don’t have any guage into how many people are in the workflow. Also I’d love for the list of people in the delay to be listed in order of “remaining time in action” - I never understood why the list of contacts in delay were sporadically ordered in literally no order that I can identify.

Please bring this feature back. It was very helpful to estimate how many contacts will move to the extra step especially in a longer workflow, that it doesn’t make sense to create a list for each step.

Hi Everyone,

Thank you for continuing to share context on your needs. Today we were able to launch a small update that brings some of this data back with a caveat.

We found a new way to display the exact count of records, if the number of the records in the action is under 99 records (for example, we can show “53 deals” or “78 contacts”). However if the count is over 99 records, we can only show “99+.”

We’re still investigating other options, but this was a quick fix we could get out to you ASAP so we focused on that first.

Please continue to share feedback and let me know if you have questions.

Best,

Megan

Hi Megan,

Thanks for the transparent communication and the quick fix. I would still love to have a more accurate number of active users shown in the workflows, as most of our workflows are sending emails to hundreds or thousands of contacts at each step, and having “99+” frankly doesn’t help us much or at all. I hope the team can find a more appropriate solution.

Thanks.

@MeganLegge I noticed the hopefully temp fix - original way it was displayed is the ideal solution…the 99+ doesnt mean anything because all our delays will be 99+ contacts so its not anymore accurate than active contacts. Not sure what was unstable about the previous way it was done before - but that I am guessing was not visible from a user side although please please can we revert back to the original as to how it was before.

Thanks for the quick-fix also from my side, @MeganLegge .
But I totally agree with @Uyen_Le and @rizq786: we also have hundreds to housands of contacts in our campaigns and workflows - so counting only up to 99 is sadly not helping enough to bring back the transparency on workflow delays for us. Hope you can find another solution and thank you in advance for your commitment!

Yes, this update has proved to be very inconvenient as a lot of my workflows deal with contact record counts in the millions..

One workaround for me is when you attempt to delete a delay it will show the # of contacts that would be affected by deleting the delay.

Since this is able to be displayed on delete… @hubspot @MeganLegge can it still be possible after clicking into a delay to show this count on the left-hand side panel at the top when it shows all the active contacts individualized?

Something like this below:

@Rhett10X I noticed that too today… and the actual number is displayed on the workflow for a figure under 99 and hopefully these are baby steps to getting where we need to get but i like your proposal also displaying on the side (although the original was easier! where it displayed on the delay itself)

I feel this can easily be dangerous in the sense that it is under “delete” and you dont want to accidentally delete that delay causing the contacts to

1) move prematurely to the next step

2) exit out of the delay

I have hope @MeganLegge and team are working on a more stable way of displaying…appreciate the fixes that are being worked on to get to a solution that is viable for all of us here.

Please bring this back it is a much slower process doing this and not being able to see the people on the delay on workflows. Just undo the change pls.

Thanks!

Please bring this back! Bummer that Hubspot would think it is ok to remove this count. Not having access to this data poses a negative impact to our business. We often have 100’s of 1000’s of contacts enrolled in workflows at any one time, and knowing where these contacts are sitting in a workflow is key.

Hi everyone,

Thank you for your patience and help on this one. Today we added back in the ability to see the total count of objects in a delay or action :star: Let me give some more context:

As I explained in the first time I posted here, we removed the count because it can become inaccurate in some situations, and this has caused problems for customers. Now that we have added it back we have made a couple of changes to 1 - make it more reliable, and 2 - make it more clear why it could sometimes be inaccurate, temporarily, in some situations.

The object counts from 1-99 should always be exact, correct, and updated very quickly/accurately. This is a new fix that we recently made, and you’ve seen this, we already implemented.

On the other hand, if there are 99+ objects in a delay, we are going to go back to using the previous system, and show that same number using the technology we used before. What should you know about this? There are isolated scenarios where the count can temporarily be inaccurate by a marginal amount. It can become inaccurate if a large number of records enter or exit the action at the same time -- lots of updates to the count are happening all at once, and it can take a little time for them all to process and for the number to update to the correct current count. Because of this we’ve now added a tool tip explaining this behavior, which states “This is an approximate number. It can become inaccurate if a large number of records enter or exit the action at the same time.”

Also, because we heard from you that order of magnitude was the really important piece of information here, we think that it’s likely acceptable for this count to be considered an estimate, that correctly reflects order of magnitude, even if it’s in the middle of an update and not quite exact for a few minutes as opposed to not giving you access to the number at all. To further address this reality that it should be considered “our best estimation at a given moment,” we introduced rounding so that numbers in hundreds are rounded to the nearest 10, numbers in thousands are rounded to nearest 100, and numbers in millions are rounded to nearest 100,000 etc.

I hope this helps explain why we’ve made the decisions we’ve made along the way. Thanks for sharing your feedback and please know whenever you post on the ideas forum, we really are reading and listening!

Best,

Megan

Thank you!!

@MeganLegge

Thank you so much for seeing, hearing and following up on your customer’s request. I appreciate the time and thought that went into making this a better/more clear version of the previous implementation.
I would love to inquire on other steps that HubSpot might take for this feature to make reporting on delay steps or actions within a workflow?
Does the team plan or have any plans on developing filter criteria into reports, lists or views that allow users to filter on a specific step in a workflow?
I think that would really tie this whole thing together. :slightly_smiling_face: look forward to your response on this!

I think it would be good to show a summary of the total contacts active in the worflow at a given time and the breakdown of the step/stage they are waiting in the workflow.

lkatrina @ It seems like you’re referring to a feature or tool related to workflows, possibly in the context of customer relationship management (CRM) or marketing automation. However, your request is a bit vague, and the steps to display the number of contacts in a workflow delay could vary depending on the specific platform or tool you’re using.
