Disabling sales email tracking for specific countries/regions (GDPR compliance) — any workarounds?

Hi all,

We’re trying to comply with recent regulations in France (and soon Italy) that require getting consent before tracking email opens/clicks for one-to-one sales emails.

For marketing emails, HubSpot has a beta feature that lets you disable tracking on individual emails, which works well for us. However, we’ve been told there’s no equivalent option for sales (one-to-one) emails sent via the Outlook/Gmail extension, it seems to be all-or-nothing at the portal level, with no way to control tracking by contact property, country, or region.

Has anyone else run into this? Specifically:

  • Is there any native or supported way to disable tracking for one-to-one sales emails based on a contact property (e.g., country)?
  • Has anyone built a workaround (workflow, extension setting, custom code) to achieve this?
  • Is this on HubSpot’s roadmap?

Right now the only options we see are either turning tracking off for everyone by default (with reps manually re-enabling it per email when needed) or relying on reps to manually disable it every time, neither is ideal.

Would really appreciate any insight from others who’ve dealt with this. Thanks!

Hi @Rocco,

As of now, there isn’t any central setting or configuration that would allow admins to specify this by country - I’m not aware of any native workarounds either.

Tracking can be disabled per email when using the extensions, see for example here, but there isn’t any way currently to enforce it for contacts from certain countries only.

You could comment and upvote this idea which is in Development: Per-Contact Control for Email Open & Click Tracking (EU Data Privacy Compliance)

Best regards

Agree there is no admin rule today that turns sales-email open/click tracking off by contact country.

What teams do in practice while waiting on Product:

  1. Make country visible at send time. Put ip_country / billing country / a compliance property on the contact card and in the Gmail/Outlook sidebar so reps see FR/IT before they hit send.
  2. Train the per-email toggle as the control. On the sales extension, turn tracking off for that single email when the contact is in a restricted country. There is no bulk enforce, so this is process + QA, not a setting.
  3. Keep sequences out of restricted markets unless tracking can stay off. If a sequence cannot honor a per-contact tracking exception, exclude FR/IT lists from tracked sequences and use untracked one-to-one or a separate untracked template instead.
  4. Separate “compliance send” views. Active list: country is FR or IT (and soon others) AND lifecycle is sales-owned. Reps work that queue with tracking off by default.
  5. Log the exception. A short note or property sales_tracking_disabled = true on first compliant send helps audits later.
  6. Still upvote the Ideas request for admin-enforced tracking by country (or by consent property). Marketing already has a per-email path; sales needs the same with an enforceable default.

Not perfect, but it is operable without a side mailbox farm.

The tricky part here is that the compliance requirement still exists even when the CRM doesn’t provide a native way to enforce it by region.

I’d treat it as a control outside the individual rep workflow: define which countries require tracking restrictions, assign ownership, document exceptions, and retain evidence that the control is being followed.

That way, even if the HubSpot setting has to be managed manually, you still have a clear process and an audit trail around the compliance requirement.
