I need to be able to disable the Zoom waiting room when my clients schedule a time to meet through a hubspot meeting link. Currently Hubspot does not support this. We typically have large demo sessions with many people attending, and it is completely not useable to have to admit clients one by one as they join the demo session that they have booked through the hubspot meeting link.
We use this integration a lot. and since usually the link of the zoom is from one of the team members , we don’t want the meeting to be enforced only on him to join it , he’s bound to that meeting , and in some cases - someone else from sales join the calls but their still relying on the person that initiated the zoom. it’s pretty limiting… makes this integration a bit less helpful.
We recently started using this integration, but have used Zoom meetings for years and very intentionally disabled waiting rooms to allow participants to join before the host if they arrive first. As an example use case, I have a sales development role and may get a meeting booking from a prospect but then later determine - sometimes last-minute - that the account executive will run the meeting on their own. Currently, I have to start the meeting and let my teammate in, make them host, then I can leave the meeting again. Alternatively, I or my teammate have to create a new Zoom meeting outside HubSpot and send a new invite to our prospect.
Please allow us to disable waiting room as we can in Zoom directly.
PLEASE!!
We use this a lot for setting up voice of customer and other sales calls and tag team who takes those calls - it’s not always the owner of the meeting. This has created real problems when the owner is not able to open the meeting first.

This mandatory meeting room breaks communication with customers when the host cannot be online right away. It also does not respect the zoom client settings that have disabled the meeting room. You are forcing us to not use this zoom integration by enforcing this setting on us.
This issue is not specific to Hubspot but affects any tool using Zoom’s API (including competitors’ meeting schedulers).
In order to resolve: A Zoom owner or admin must enable and lock meeting passcodes for the entire Zoom account. For detailed instructions, refer to Zoom’s support article.
- To identify your Zoom owner or admin, check your Zoom account profile.
- If you are the Zoom owner or admin, you can enable the setting directly here under the “Security” tab.
Suggestion: Hubspot should consider adding a Help Center article addressing this issue, as the solution is currently available only on a competitor’s help page.
