Deal Pipeline Integration for Clio Manage

Clio Manage is one of the largest case management systems used by lawyers. Hubspot already has a Clio Manage integration to sync all contacts from one to another, but attorneys only create a case once they are retained, not once they are contacted by a prospective client.

THE IDEA: Update the Clio Manage Integration to be used in Deal Workflow that would allow a workflow such as: “If Deal Status = Retained/Won, then create Company/Client/Matter in Clio Manage”

This integration would massively increase the value of the Clio Manage intergration and would add singificant value to using both products together.

@KKulbacki - we are integrating Clio for a client and we can sync contacts/companies, but adding new deals in hubspot aren’t creating new matters in Clio, even with deal sync turned on. How do you handle this? Do you just have to create the matter in Clio and send to Hubspot instead? Seems a bit silly to have to work equally in both systems.

@CSic Unfortunately there is no workaround. The Hubspot Clio integration is just a plain contact sync more or less, which doesn’t make a lot of sense since there are a lot more inquiries than there are actual clients who sign up for legal services. I tried pretty hard to find a way to only sync a contact from Hubspot to Clio when a deal is won (looked at Zapier and other related services), but never found any that would do it - it really is an all or nothing sync at this time. Ultimately I wound up just deciding that it (adding a contact, company, and matter) has to be done manually within Clio after the deal is won in Hubspot.

I wish there were a way to get around this, but it just plain doesn’t seem possible barring a fully custom integration (and then a higher enterprise Hubspot subscription to be able to include that in an automated workflow)

Thanks @KKulbacki. How deep did you dive into Zapier? What was the issue there? I read somewhere that Clio/Zapier connection worked, but it wasn’t in regards to deal sync specifically. Thanks again, appreciate the collaboration. I’ll keep you posted if we find something out as well!

@CSic I took a pretty deep dive into Zapier, and in general you are correct. Been a while since I tried this a few months ago, so bear with me. IIRC, the problem is somewhat two fold:

First, within Hubspot contact data and deal data, while linked, are seperate, so for one it is extraordinarily difficult (and in general not possible) to gather information within Hubspot based on the trigger we would need (i.e. HS Deal Won > HS Get Associated Deal Contact/Company) while this is slightly possible, getting the IDs of the correct information isn’t as accessible as it needs to be for this to work. I recommend trying this so you see what I mean - unfortunately looking up Associated Contact Info based on the Deal Info isn’t an easy, accessible link, despite the two clearly being linked.

Second, the companies that create these integrations don’t actually understand the workflow needed within Clio, so you run into difficulty on that end. Not sure how familiar you are with Clio, but in order to create a new case/matter, you need to first associate the contact. This means you need to create a person and company (seperate steps, can be done in either order, but still seperate), link those two together, and then create a matter off of the person or company.

It all sounds really simple, but unfortunately the data just doesn’t really play nice enough to be able to make it work.

Fellow law firm who uses Clio Manage as well. Completely agree with your suggestion. In addition, I do not understand why the default field maps for Clio Manage deals only includes the Client at the individual level, not Company level. We set up deals in Hubspot to sync to a matter in Clio, but unfortunately the syncing has been problematic since the sync does not capture the Company information. Seems like an easy fix for HubSpot/Clio.

In the year and a half since my original post, we transitioned to using Hubspot and FileVine (instead of Clio Manage). There is no integration, unfortunately (and doubt there will be as FileVine has LeadDocket, which is a far less advanced competitor to Hubspot and Clio Grow), but with that said FileVine is a significant upgrade over Clio Manage.
