Problem
The Deal Collaborator feature is a great step forward for improving teamwork on opportunities. Collaborators can gain access to a deal and participate in the sales process without being the deal owner. [knowledge…ubspot.com]
However, there is a significant limitation that makes true collaboration difficult:
Deal collaborators do not automatically gain visibility to all activities associated with the deal, such as:
- Notes
- Tasks
- Meetings
- Calls
- Emails
As a result, a user may be added as a collaborator to help manage an opportunity, but still be unable to view important discussions, meeting records, action items, and customer communications unless each activity is manually shared or permissions are broadly expanded. Business Impact
In many organizations, deals are handled by multiple stakeholders:
- Sales Representatives
- Sales Managers
- Pre-Sales Engineers
- Customer Success Managers
- Solution Consultants
- Project Managers
When these users are added as Deal Collaborators, they need complete context to effectively contribute to the opportunity.
Without visibility into associated activities:
- Collaborators cannot see previous customer discussions.
- Important meeting notes are hidden.
- Tasks assigned to other team members cannot be reviewed.
- The deal timeline becomes fragmented.
- Teams must manually share activities one by one, creating administrative overhead.
This significantly reduces the value of the Deal Collaborator feature and makes cross-functional collaboration challenging.
Suggested Enhancement
Introduce an optional permission setting such as:
“Deal Collaborators can view all activities associated with the deal.”
Or alternatively:
“Inherit activity visibility from Deal Collaborator access.”
When enabled, any user added as a Deal Collaborator would automatically have read access to all activities associated with that specific deal, while maintaining existing security controls for unrelated records.
Benefits
- Enables true deal-based collaboration.
- Reduces manual sharing effort.
- Improves transparency across Sales, Pre-Sales, and Customer Success teams.
- Provides a user experience similar to Opportunity Teams in other CRM platforms.
- Encourages wider adoption of the Deal Collaborator feature.
Use Case
A Sales Representative owns a deal and adds a Pre-Sales Engineer and Customer Success Manager as collaborators.
All three users should be able to:
View deal notes
View meeting records
View tasks related to the opportunity
View call logs and emails associated with the deal
without requiring individual activity sharing each time a new activity is created.
This enhancement would make Deal Collaborators a truly collaborative feature rather than simply a record access mechanism.
Vote if your team uses Deal Collaborators and would benefit from automatic visibility to all associated activities within a deal.
