Data Quality - Records reports (contact and company duplicates separately)

Hi,

It would be awesome to have the chance to view the number of contact and company duplicates separately in the Data Quality “Records” report, to be able to see how each number fluctuates every passing day, week, month, quarter, year etc. At the moment we are working on reducing the number of company duplicates and there is big progress happening every week, but since the number of company duplicates is much larger (and we are still not working on them), it feel like the line stays exactly the same.

This is why it would be awesome it this two number could be represented separately in the reports, so that the work being done can be better represented and we would have more tangible info to show to our board. I am sure that many user could benefit from this update.

I hope this idea will be supported and this changes could take place sooner than later.

Thanks a lot, Cheers to every HubSpotter :grinning_face_with_smiling_eyes:

@elantz94 good idea! I was also missing reporting features for duplicates so we decided to create a plugin that solve this.
This blog article highlights some useful duplicate reports: How to create a report of duplicates in HubSpot using the Koalify properties

Hope this might help as a temporary solution!

Hi @Jonas_De_Mets

This is awesome. Super interesting. How were you able to create those custom properties? And to be able to have access to them, I assume we would need to buy a purchase from Koalify, right? We have around 70.000 contact+company records so I guess it’d be 600€/year, right?
Do you also offer email validation tools? Or is the entire company really focused on solution for duplication and deduplication?

I have been taking a look at the reports you built using your Koallify properties (“Koalify Number of Duplicates” and "Koalify Duplicate Properties). Since the report you show in the video is filtered by “Create date”, I wonder if it shows the number of new duplicates tha have been created during that certain period of time (depending if you filter by day, week, month, Q, year etc.), or if it shows the total number of duplicates that exist in data base during that week. I would be interested in both, but in our case, since the number of duplicates is really large, we would really need to see the total number duplicates that exists in our data base to see how that total number fluctuates (hopefully decreases) as we work on cleaning our data and merging duplicates.

Looking forward to hearing back from you,

Kind regards - Erik

Hi @elantz94,

These Koalify properties are created automatically by the Koalify integration via the API. The properties are also populated automatically as well, depending on which rules you set for duplicate identification.
You can first try Koalify for free via the HubSpot markeplace.
If you like the plugin, a yearly subscription would cost €420 (€5 * 7 (for 70K records) * 12 month).
At the moment we are focussed on duplicates and we don’t offer email validation tools, but it’s listed as an idea already in our backlog.
The report uses the “Create date” property of the record. So it does show “the number of new duplicates tha have been created during that certain period of time” indeed. In the built in HubSpot reports it’s currently only possible to show the current number of Koalify duplicates and not the progression over time. We are reviewing how this would be possible! I am curious about your input on these topics, so feel free to plan a meeting with me.

Hi team,

Would love to raise this again.

I am building out my team’s KPIs related to data quality, and also preparing monthly reports to show ROI of hiring a new CRM Administrator.

However, it seems that there is still no way to report on Data Quality metrics over time.
HubSpot chat support has suggested I copy the results from the weekly digest emails into a spreadsheet to track… insane.

What we’re looking for:

  • Ability to report month-on-month on Data Quality metrics (duplicates, formatting issues, property issues)
    - similar to what’s available for Property Insights, but covering all Data Quality metrics
  • Ability to save this and the existing Property Insights chart as dashboard reports.

Look forward to any updates!
