Dashboard and filtered view discrepancies

Hey Community
So we have been experiencing some discrepancies between our Dashboard Activity Breakdown report and a filtered view in the Contact list.

Applying on both the same filters:

  • Owner of the contact
  • Last week as a time period
  • All activity types

The dashboard report reports 11 activities and the Contact list 14 activities. What is the reason for the 3 missings in the Dashboard report you would say?

Hey @IldikoGy, thanks for sharing! This is a really good question.

So the report and the contact list you created aren’t actually looking at the same exact things.

The report is looking at the activities themselves (HubSpot calls them “engagements”), but the list is looking at contacts with a “Last activity date” value that falls within the date range you set. Looking at this HubSpot article:

Last activity date**:** the last date and time an activity was logged on the contact’s record. Possible activities include a note, call, tracked and logged sales email, meeting, message, task, or chat. This is set automatically by HubSpot based on the most recent date/time set for an activity. For example, if a user logs a call and indicates that it occurred the day before, the Last activity date property will show yesterday’s date.

Notice that the “Last activity date” property looks at logged calls, sales emails, meetings, and other sales activities that may not be captured in the report that you built. However, those contacts will have a value for “Last activity date” and appear in your filtered contact view!

If you haven’t already, it may be worth checking out some of the default sales activity reports or reports around a specific activity (i.e., meetings).

Thank you very much for the above. I will check out, as you suggested the reports around specific activities, which might be a better solution.
At this point - I believe the owner of the activities may not be logging it correctly as Fatima suggested it too in the comments.

Hi @IldikoGy,The 3 missing activities in the Dashboard report could be due to the fact that the activities were created by someone other than the owner of the contact.
Additionally, activities may not be associated with the contact, or the activities may have been marked as private.
The Dashboard report may be missing certain activities for various reasons, like:
- It could be because not all activities are tracked on the Dashboard, or because some of the activities were not logged in the system or were not recorded properly.
- It could also be because the filters applied to the Dashboard report were not applied to the Contact list.
- It is also possible that some of the activities may have been recorded with the wrong owner, hence not showing up on the Dashboard report.
Do check all the possibilities. by following the above suggestions, you would definitely find the solution without missing any activity.

Thanks for the brainstorming of possible issues. As mentioned to Jacob, at this point I am suspecting the contact owner has not logged / not logged correctly the activities.
