Critical Customer Portal Features Missing From Our Current System

This document outlines six key functionalities missing from our current customer portal, which are considered essential features in most customer support platforms.

1. Disconnected Email Responses:

Currently, if a customer responds to a support ticket via their email instead of the portal, their response is not reflected within the portal conversation. This creates a disjointed experience for both the customer and the support agent.

2. Limited Communication Options:

The inability for customers to add CC recipients to their support ticket responses hinders collaboration and transparency. Customers may need to loop in relevant parties within their organization, and this feature restriction creates an unnecessary hurdle.

3. Lack of Rich Text Formatting:

The current portal offers only basic text input, lacking features like bolding, underlining, image insertion, or other rich text formatting options. This limits the customer’s ability to effectively communicate and highlight key points within their messages.

4. Cumbersome Attachment Handling:

The single file attachment limitation forces users to combine multiple files into one, which can be inconvenient and time-consuming. A more user-friendly approach would allow for attaching multiple files individually.

5. No-Reply Email Issues and Account Activation:

Some customer mail servers flag our no-reply support email address. This can prevent customers from receiving important updates. Additionally, the lack of an admin functionality to activate customer accounts on their behalf creates a barrier if a customer experiences access issues.

6. SLA Discrepancy:

Our current system only tracks SLAs (Service Level Agreements) for customer-submitted tickets. Internally generated tickets within the “inbox” are not included in SLA calculations, creating an incomplete picture of our support performance.
