Creating Tasks to Manage a Project With Your Team

Hi There,

We are really focused on trying to bring as much of our workspaces into Hubspot as possible to avoid balancing multiple systems.

We have some projects we are always working on in the background, and I would like to be able to assign tasks to the team as we go over this.

Here are the issues I have run into:

If I use “Projects”, the tasks within the project do not interface at all with the regular tasks, so you would have to navigate to a different space to be reminded of those tasks.

If I use Tasks and create a shared view and queue that we all use, it is frustrating that I can only assign a task to one person and cannot clone a task, so if I want to assign one piece of the project to multiple people, i have to manually duplicate the task.

Anything I am missing here? Ultimately I just want them to have tasks for these projects integrated into their daily task flow, and to make it easy to assign to people.

As far as your bigger picture question goes, HubSpot projects are a bit of a neglected feature and haven’t gotten much love recently. If you’re looking for a solid project management tool, I wouldn’t try to make projects work purely because they’re part of HubSpot.

HubSpot has integrations with many projects management tools, ClickUp for example. Until projects get a bit more attention, that might be a better route to take or at least evaluate.

What is it?

You can now manage projects using a new Project object and visualize them with a Gantt chart view, giving you the ability to execute structured project management directly in HubSpot’s Smart CRM. The Gantt chart view provides a visual timeline of your records and associated tasks, helping you see how work is progressing over time. You can also use table view and board view.

Why does it matter?

Teams managing cross-functional work often struggle with visibility into project timelines and task dependencies. Previously, managing projects in HubSpot required adapting existing tools, leading to scattered information and misalignment. With native project management in the CRM, teams can track progress, adjust timelines, and keep project data connected to workflows and reporting all in one place.

With the Project object and Gantt chart view, teams can:

  • See timelines and tasks in one place
  • Track progress and adjust plans as things change
  • Keep project data connected to workflows, reporting, and the rest of the CRM
  • Align teams around what needs to happen and when

How does it work?

To activate the Project object:

  1. Navigate to Settings > Data Management > Object Library
  2. Select the Projects checkbox, then click Confirm
  3. Configure properties, pipelines, and automation on the Project Settings page

To access the Gantt chart view:

  1. Go to any CRM index page
  2. Select an object type (available for Projects, Deals, Services, and their associated Tasks)
  3. Click the View type button and select Gantt view

Using the Gantt chart:

  • View record and task timelines visually
  • Drag timeline bars to adjust dates
  • Add and complete associated tasks directly in the chart
  • Filter and zoom to focus on specific records or timeframes
  • All changes sync automatically with CRM properties

Who gets it?

Access to the Gantt chart view is available to accounts on Starter, Professional, or Enterprise subscriptions.
