We created a custom object for each Meeting. The idea is: a record of Meeting should be created every time a meeting is scheduled.

The challenge is: what happens if a Sales Rep schedules a meeting and invites MORE THAN ONE of the prospects. Will it create a meeting object for each one of the contacts?? How can we prevent this?

Note, we cannot use Companies as a trigger for meeting object record creation because sometimes the Contact we have a meeting with does not have a Company associated yet.

Hi @Dishu18,

Could you share some context as to why you’re not using the default meeting object? Leveraging the default might save you a lot of headaches.

How contacts are associated to meeting records depends on how exactly you are creating them. How are you creating these custom object records? If you can share screenshots of the workflow and action details, that will help.

Keep in mind that moved/canceled meetings and changes in a calendar in general will not automatically reflect in a custom object record created via workflow - which could be another reason for the default.

Best regards

Hey @karstenkoehler !
So the context is as follows. As you know Meeting native object is not fully controllable. E.g, we want to update Meeting Type automatically. Which is not possible.
So each time a meeting is created we want to create a custom object and then have a custom property there to update Meeting Type.

@Dishu18 understandable requirement – which you could solve by working the HubSpot API or custom code actions in workflows.

By creating a custom object record, you’ll also have to account for (as I mentioned) moved/canceled/changed meetings.

If you need further help, please answer all of the points from my previous reply.

Best regards!
