Creating a Sales Meeting vs Closed Won Deals Report (Conversion if possible)

Hi amazing HS community.

I’ve been scouring the forums to see if this is even possible. I keep finding information that is close, but doesn’t quite seem to work or I can’t access the feature as we are Professional not Enterprise (so I don’t know if that feature would work for us) or maybe I’m just missing something.

Important request:

We’re trying to build a report (or reports if they need to be seperate) that essentially compares how many ‘sales meetings’ against ‘won deals’ we have.

Secondary request:

If possible, it would be create to work this our as a conversion %. Everything I have found so far shows some reports, like funnel reports, show conversions between deal stages, creating custom formulas aren’t possible within Reports.

I already have the numbers for the meetings and sales through seperate reports, as per image below. These reports take into account:

  • Not all meetings are being included. We filter based on specific meeting names
  • Only include Won deals from one of our pipelines

The below shows the total meetings, as a team and then individually, on the Left and then Total Won Deals, as a team and individually, on the right.

Does anyone know of a way to get these two values (specific Sales Meetings and Won Deals) on the same report?

Here’s how I would approach this:

  1. Create a roll-up property that counts how many meetings there are associated with a deal: Create calculation and rollup properties (this would require working with a meeting type, not a meeting name – but it sound like you may have this property figured out in another way)
  2. Use a workflow that copies the value from that previous property into a custom number property (‘Number of meetings at the time of closing (won) the deal’ or similar)
  3. Create a deal report in the custom report builder with two y-axes, set up like shown below

If you’re not looking for a bar chart and want to include the conversion rate, that should be achievable with the “Formula Fields now in Custom Report Builder” beta (under Settings > Product updates > All product udpates).

I’m trying to clarify your comments so I am not missing anything.

  1. After a check of settings, we do not have meeting types turned on at the moment, so I will ecplore that. This would be rolling up (counting) the amount of meetings that have taken place and are associated to a specific deal. So this calculation field is a custom ‘deal’ property - is that correct?
  2. This sounds like we’re creating another custom deal property - Is that because the reporting needs a ‘number’ field and can’t use ‘roll-up’ fields when trying to create a sum value?
  3. Because we are then using the filters as mentioned, each ‘deal owner’ is then going to have 2 columns - one for their ‘won’ deals and one for their ‘total sales meetings’?

  2. No, this is because the deal record might get more logged meetings after being closed won – in which case I’d assume you wouldn’t want them to be included. Copying them over into a custom number property once “freezes” the count.
