Contact Owners Not Receiving Form Submission Notification

Hi there,

I’m looking for some assistance in resolving why our salespeople are not receiving form submission notifications. I currently have the form option for “follow-up options” ticked where supposedly, submission email notifications are sent to contact owners.

The workflow I have set up separates contacts by sales region and automatically assigns a salesperson to a given contact if the contact meets the project location criteria. However, upon submission of the form and when the salespeople are assigned a contact automatically based on the contact’s project location, the salespeople do not receive a notification of the submission detailing the information entered into the form.

Is there another way to have particular contact owners only receive the form submission notifications that pertain to their contacts and not show other salespeople’s contact submissions?

For example, let’s call our salespeople Jack and Jill. A customer submits a form with a project located in Jack’s territory. Jack is assigned this customer automatically through a workflow and then receives an email that a submission came in. This email lists the data entered by the customer into the form fields. Jill does not receive this notification and vice versa with Jack and submissions in Jill’s territory. How can I achieve this?

Hi @JCizek if the form submission is triggering the workflow to assign the contact owner, the data isn’t available for HubSpot at the time of form submission to trigger the automated notification to said owner.

The auto-email that goes out upon form submission is immediate, whereas the workflow trigger will have a delay on assigning the owner.

You’d need to include a form notification step within the workflow that assigns the contact owner as a next step.

Jennifer is absolutely right here, the form submission doesn’t have an “owner” to send a notification to at the time of submission.

One thing to give a bit of additional insight though is you want to use the workflow action “send internal notification” after your submission.

I appreciate the insight. I am still having some trouble creating and organizing the workflow. Could you please walk me through each step to ensure this workflow works properly? Perhaps a visual sample template would help, so please see my current workflow below so you can understand where I am having issues. I also was hoping you could clarify at which point to have the internal email sent to the contact owners listing the information submitted on the form as well as how to format that email so it displayed each field that had information entered. As of right now, I have a sample one input on the leftmost " (Salesperson’s name) Texas Project ZIP" branch after they are assigned as the contact owner. I ran an initial test and found that this email never sent anything.

Hey @JCizek testing workflows can be a pretty involved process, it’s not really something we can easily just say yes or no to with a quick answer on a forum like this. Particularly a workflow that large. Do you have a specific question or something specific in your workflow that’s not working as you expect it to?
