What are some of your best practices for keeping contact info clean? With email connected, we are constantly getting new contacts added and they often get added with missing information like their role or sometimes their email is put in the ‘name’ field. I also want to start placing contacts into segments that would be a manual process.
We have 15-20 users that are actively adding to our contact list and I don’t envision a lot of them taking time to update the contacts if I ask. It’s a lot of c-suite and management with bigger fish to fry. Just wondering what you all have found to work to keep contacts up to date with the proper information.
Generally, there isn’t a magic wand that will automatically fill missing fields in HubSpot (at least not natively). HubSpot insights will populate some company information but not on the contact record. Third-party apps can help with this (e.g. Zoominfo). Without the help of apps, this information needs to be maintained manually.
To easier spot which information is missing, you can create active lists, filtered views, or reports to highlight those contacts which are missing information. For example, visualizing all contacts where “Buying role is unknown” will return a list or report of those contacts which have to be enriched with that information.
HubSpot has some features to require certain input, e.g. mandatory fields when creating contacts. However these don’t take effect when contacts are created from emails.
If you have workflows, you can also set up notifications that are sent to the contact owner, asking them to update certain fields. (Let me know if you need further information/assistance on this.)
Thank you, Karsten. That all makes sense. I had considered a workflow, but I’m not sure if it will translate to movement. It’s worth a shot! I may try filtering for fields missing and reaching out individually.
