configure auto-creation of contacts and companies from inbound emails

Hi

I connected my gmail inbox to the sales hub (free edition).

Issue: not all ibound messages are CRM-related, but HubSpot creates mew contacts and companies for all incoming emails.

Ideally, I’d wand a conversation to be tracked if one of the sender+addressees is a contact or if the domain of sender/addressee is that of a company already in my company list.

How can I configure or place rules to manage that?

This sounds like you connected your email address as a team email inbox? Connect channels to the conversations inbox

If you did then it’s not possible to customize for which conversations HubSpot creates a contact - besides the deny list which moves them to spam without creating a record: Manage the allow and deny list in the conversations inbox or help desk

Keep in mind that this inbox is only meant for team email addresses, not for a personal inbox. Personal inboxes should be connected following these steps: Connect your personal email

With the sales extensions, you can decide for each email that you send whether it should be logged to the CRM and create a contact or not: Install HubSpot Sales for Gmail, Office 365, and Outlook desktop | Knowledge Base

HubSpot will automatically log replies to those emails but not all incoming emails: Understand reply-only email logging rules

Hi @GiulioFerretti - you need to apply up log & track settings.

You can do this in two ways:

Directly from Gmail

In Gmail click on the HubSpot icon in the top nav bar:

2. Click Log and track settings

3. Toggle off ‘Log Email’ and ‘Track Email’

This will give you the most control as to when an email is Logged and Tracked in HubSpot.

4. Here you can also set up default associations of emails, where they should log. Also you can set up Never Log rules. For example you can input domains of emails that should never be synced to HubSpot.

In HubSpot

1. Go to Settings > Data Management > Objects > Activities

2. On this page you can also change your Log & Track Settings (these will apply to all users in your HubSpot account)

3. You can also set Never Log rules for all users in your HubSpot account.

Logging Emails Going Forward

Now you have turned off auto logging and tracking, you need to manually tick when you would like to log and track an email into the CRM. I recommend doing it this way as it gives you total control.

1. When composing an email in Gmail you will now have to tick the Log & Track checkboxes to sync an email to HubSpot (which will auto create Contacts & Companies if they don’t already exist.

2. You can also click the drop-down button next to Log to select which objects the Email should be logged against. This is reallt useful in scenarios where you have multiple Deals open with a Company, but this email thread is only relevant to a certain Deals (or Company, associated Contact etc.)

to exclude certain domains.

You can also set this up at the CRM

Hi the solution you suggest refers to outbound email that you don’t want to log, but, once you connect a mailbox as a channel, also inbound messages (that may be private) automatically create new contacts and companies… is it possible to “do not track” also domains in inbound messages?
