Hi HubSpot Community,
I am using the Company name personalization token in the event title of a HubSpot meeting scheduling page.
The setup works correctly when the contact already exists in HubSpot and has a primary associated company. However, when a new lead books a meeting, the company name is missing from the meeting title.
Has anyone found a way to make the Company name token populate correctly for new leads?
Hi @Iscrisvesu , this happens because the Company name token pulls the value from the associated Company record. For a new lead booking a meeting, that Company association may not exist yet when the calendar event is created, so HubSpot has no Company value to use in the event title.
A workaround would be to collect the company name directly on the scheduling form as a Contact property instead.
You can add a contact property Company name to the scheduling form and then use that Contact property as the personalization token in the event title. This way, the value comes directly from the information submitted during the booking and doesn’t depend on a Company record already being associated with the Contact.
The company name is already collected as part of the scheduling form. The issue seems to be that HubSpot creates the meeting and sends the calendar invitation before the Company record has been associated with the new Contact.
In our tests, the Company association is created correctly shortly afterwards, but by then the meeting title has already been generated without the Company name.
Is there any way to make the meeting title use the company name submitted in the form directly, or to delay the meeting creation until the Company association is completed?
Yes, this is a fairly common situation, and the difference between existing contacts and brand-new leads usually comes down to when the company association is created.
The Company name token in the meeting title is pulling the value from the company associated with the contact. For an existing contact, that association is often already in place, so the token populates correctly. With a new lead, HubSpot may need to create or associate the company based on the contact’s email domain, and that process may happen after the meeting is created.
Since the meeting title is generated when the booking is submitted, the company association may not exist at that exact moment. In that case, the title can be created without the company name and won’t necessarily update later when the company is associated.
One workaround worth testing is adding a Company name field directly to the scheduling page under the booking form fields. You can make it visible, or required if it makes sense for your process. This allows the visitor to provide the company name during booking, so the value is available immediately on the contact record.
Then, in the meeting event title, use the contact-level Company name token rather than the token that pulls from the associated Company record. They can look very similar, so it’s worth checking the token source carefully.
I’d test this with a new email address after making the change. If the company name appears correctly in the meeting title, that would confirm the issue is related to the timing of the company association rather than the personalization token itself.
If you’re already creating the company association before the meeting is generated and the token is still blank, then I’d look at the specific workflow or automation setup, as that could change the behavior.
@Iscrisvesu yes, that’s exactly the timing issue I was referring to. Since the company name is already collected on the scheduling form, it should be stored as a Contact property.
Could you check whether the personalization token in the meeting title is using Contact → Company name or Company → Company name?
If it’s currently using the Company property, try switching it to the Contact property. This should use the value submitted directly through the scheduling form instead of waiting for the Company association.
