My name is Chandni Desai, Senior Product Marketer at HubSpot specializing in Sales Hub, and I am excited to host this AMA alongside Saasha Mane, Product Manager for Notetaker at HubSpot!

Post-call admin work is a universal productivity killer for sales and service reps. We are here to talk about how simply bringing your call and meeting transcripts into HubSpot can reduce that manual work for you.

Once your transcripts are in HubSpot, features like Smart Deal Progression do the heavy lifting by creating suggested CRM updates, drafting follow-up emails, and building action items to help progress your deals without reps having to start from scratch or memorize what happened after every conversation.

Any plans to make the notetaker recordings shareable externally? This is requested a lot across every company I work with that uses it.

Anyway to manually add notetaker when it fails to join? Seen it happen a few times now.

Hi, thank you for your feedback! We have recently added the ability to share recordings externally. You can do this from the meeting or call review page. In the top right hand corner, we have a black button that says “Share”. If you click on it, you’ll see a dropdown that allows you to share it externally.

Additionally, we are working on the ability to add the notetaker to a Live meeting. This isn’t supported yet but we are targeting this to be rolled out to the beta by this Friday, August 21st! So you should see it in your portal then if you are opted into the beta.

Is there anything on the roadmap to identify CRM contact or company properties we would like to update based on calls, and to have the Notetaker generate suggested CRM updates for those objects?

Thanks for the update! The external sharing feature is really helpful, and I’m glad to hear manual notetaker joining is coming to beta.

I’m also having some difficulty confirming my sales/deals in the portal. Could you point me to the right place or let me know if there’s a setting I need to enable? I’d really appreciate the guidance.

Hi, thanks for your feedback! Do you mind elaborating a bit on what you mean by confirming your sales and deals?

Today, HubSpot’s Notetaker and Smart Deal Progression functionality only suggests or automatically updates deal properties. However, we are actively working on ways to update contact and company properties with HubSpot’s Notetaker functionality, as well. We don’t have a timeline that we are committed to yet, but I’m happy to share that this is something we are thinking about!

Post-call admin is one of those silent time drains that reps just accept as part of the job, so it’s exciting to see how transcript activation + Smart Deal Progression is changing that equation.

I’m curious about adoption on the rep side — what does the onboarding experience look like for a team that’s already using Zoom or Teams heavily? Is there anything that tends to trip up reps early on, and what’s the best way for admins to set them up for success before they ever join their first call?
