[Closed] AMA - Ask Us Anything About Sales Hub

Hi HubSpot Community,

I’m Alex! I’m a Senior Product Marketing Manager for Sales Hub here at HubSpot. At INBOUND, we announced some new and exciting features for Sales Hub, including personalized sales engagement tools, smarter sequences, new deal management capabilities, advanced analytics/reporting, and more.

We all know that in todays’ macroeconomic environment, selling is becoming more challenging and complex than ever before. Sellers are putting even more effort to meet quotas and close deals, but are now facing a productivity problem due to fragmented systems. More time is being spent on administrative tasks than actually selling. With these new Sales Hub features, we’re enabling your teams to consolidate all their sales data, tools, and teams together on one single platform, from prospecting to close.

We want your teams to work smarter, not harder. That’s why we’re thrilled to invite you to our upcoming AMA where we answer all your questions regarding our features in Sales Hub.

Our AMA will take place right here in the Community forum from September 11-22, 2023.

Not sure what to ask? Here are a few sample questions:

  • How does this feature assist in managing and tracking communications with leads?
  • Do your prospecting features offer types of customization and automation for sales outreach?
  • Can I set notifications and reminders for follow-ups on important lead interactions?
  • Will there be any AI-driven insights or recommendations for my prospecting strategies?
  • What are some of the new reporting features that you’d recommend?
  • What are some use cases of customers who’ve used these features?

Hope you’re all excited about this as much as we are! Feel free to drop your questions in this thread and a HubSpot Expert will be back with a response :slightly_smiling_face:. Looking forward to hearing from you!

Excited to know more

That’s awesome! You can find more information on all things new in Sales Hub here. Let us know if you have any questions!

Recently stared using Conditional Logics for the Create New Deal pane. Works fine and is almost as good as you would like it to be.

Our core sales team are using the HubSpot Sales outlook add-in, where you also can create Deals directly from within Outlook. Working smarter, not harder :slightly_smiling_face: But, just noticed that the Conditional Logic does not work in the Outlook add-in. Any “depending” property, that will show up using the web-interface based on the Conditional Logic, will NOT show up at all in the Outlook add-in.

Is there a solution for this?
(Is this a bug or is it as it should be?)

We’ve been waiting for so long for the Conditional Logic feature, but if it doesn’t work in the Outlook add-in, it kind of takes us back to square one.

Hi @JBergquist46 !

The team is working on some updates to the Create New Deal pane in the email extensions, which should enable Conditional Logic. We don’t have an exact timeline at the moment, but I’d recommend subscribing to our product notifications to stay informed.

Please let us know if you have any other questions!

Today, the sales prospecting area is being fundamental to qualify its MQL records in opportunities for this, the sales management of the SDR team increasingly needs indicators and reports for decision making and improvement of the team’s performance. The use of playbooks is growing mainly with new features and linking properties. But we have no way to generate reports of this use of the created manuals. When will this be possible?

Hello @PFaria85! You’re right, there’s not an easy way to tell if playbooks are being used or how they’re being used. This is a common piece of feedback, and we’re actively working on adressing it. Expect to see some improvements in the next few months.

I’d love to hear more about your specific needs if you’re open to chatting. Thanks for your feedback!

Not sure you can assist with this. We have a specific need, but not sure playbooks will work. We integrated our ERP orders with HubSpot, so sales reps can see order and ticket activity. We need a way of documenting and reporting order changes. We created property fields within ERP Order custom objects. There’s one issue, we can’t document multple order changes for the same order. We can create a playbook to log the information, but I believe it will overwrite previously entered information. Any suggestions?

Hey @PFaria85 if you are talking about playbook reports, you are not alone! This is an idea thats getting a lot of traction here. I know our product team reviews these points frequently and can weigh in here as well. Unforunately I don’t believe that you have the reporting option for playbooks today. Perhaps the new Prospective Activities Report or Lead funnel report can provide you with some of what you are looking for if you are using the new leads object? Let me know if that doesn’t help and I can see if we can explore other options.

Hi there,

I have a concern about the new lead management feature under prospecting.
How would you make sure that previous unqualified leads that have returned are not missed?

At the moment if the leads unqualified, when they return and fill out a form again they will be still unqualified and won’t come under as a ‘lead’ anymore?

Hope that makes sense

Great question! @liamkelman Since Leads is an object, you should be able to set up a workflow that can trigger once a contact submits a form to change the lifecycle stage. Let me know if that doesn’t make sense and I can see about getting an example.

Thanks @ARainford

That makes sense. I think I was thinking that the criteria of the new lead management tool is based of the lifecycle stage but it’s actually the lead’s stage.

Do you know how lead stage and lead status is going to work? Is lead status just relevant to the management tool or will lead stage replace lead status?
I can see lead status is not a contact property.

I am a new user and asked my sales team to create meeting scheduler pages.
There are four of us total. I didn’t realize that we only got two calendars.
Unfortunately I used one of them and the CEO used one of them, and our head of Sales can’t create one without use upgrading which is not an option at the moment.

I want to delete my meeting pages and start over so I can make one round robin meeting scheduler instead. Settings > Meetings does not have the option.

I’m pretty tech-savvy and am REALLY stumped here. Banging away at this trying to get it set up ahead of a conference next week… can you help? Thanks!

Hi Sarah,

Are you trying to disconnect one of your calendars or delete a single meetings link?

If you’re looking to disconnect your calendar, you can go to Settings > Meetings > hover over your email address that appears under account, and on the right-hand side of the screen you should see a red Disconnect button appear.

If you’re looking to delete a meeting link, first try navigating to Sales > Meetings. Hover over the name of the meeting link you’d like to delete and click Actions > Delete.

If you don’t see a delete button, one of two things is probably going on.

1. If you are not the owner of the meeting link, you’ll need to have the “create scheduling pages for others” permission. A Super Admin can grant you these permissions if you don’t have them.

2. If you are trying to delete a link that you own but aren’t seeing Delete as an option, it may be that this meeting link is set as the Default Meeting Link in Settings > Meetings. Try changing the default to a link other than the one you want to delete.

Please let me know if that doesn’t answer your question! :slightly_smiling_face:

Hi there – thank you!

I’m trying to delete meeting links so I can start from scratch because it’s a hot mess right now. I just want to delete everything and go back to square one now that I know the round robin link is an option.

I am a Super Admin so I should be able to do something here.

Can you please clarify this point – “you’ll need to have the “create scheduling pages for others” permission. A Super Admin can grant you these permissions if you don’t have them”?

Where do I find the Permissions page and grant myself this permission?

I can’t “Actions > Delete” on any meeting scheduler links so I assume that I don’t have the permission by default, even as a Super Admin. Thanks in advance!

Hi Sarah,

As a Super Admin, you should have sufficient permissions, which likely means the links you have currently are all those default links I was talking about. Are you able to click Create scheduling page and create a new round robin link? If so, once you create one of those you can go to your meeting settings and switch the default link to the new round robin page. Once you’ve done this, you should be able to delete at least the existing link that is connected to your calendar. There needs to be at least one default link for each calendar that is connected, so the other users that have connected calendars may have to do the same in their settings. Let me know if that works!

No, I can’t create a new meeting link. See attached image. I have Sales Hub Starter and have created two meeting scheduler links.

And yes, they’re both set as Default links. I do not have the option to change it away from Default and therefore I can’t delete. I can’t create a new meeting scheduler link to make the Default because I’ve hit my max.

I’m really bashing my head against a wall here trying to figure it out

And yes, I did submit a Support ticket last week but haven’t heard back.

Hi @sarahbecherer

Judging by the screenshot you have not assigned yourself a paid Sales Hub Starter seat. Being a Super Admin does not include access to paid seat features. Once you have assigned yourself a paid seat, you will be able to create up to 1,000 meeting links.

As a super admin with an assigned paid seat you can create meeting links for other users as well.

Hope that helps.

Frank

This worked! Thank you, Frank & MK! Appreciate you so much.

Hi Sarah,

Thanks for your patience here, I totally get how frustrating that can be and I’m sorry your support ticket has not been addressed yet. I think the issue here is that you don’t have one of the paid Sales Starter seats assigned to you. What I’d recommend is either reassigning one of those seats to yourself so that you can create multiple meetings links or having one of the users who already has a paid seat connect their calendar and create the round robin link.

You can manage who has a paid seat by going to Settings > Users & Teams > Seats.

Either way, the round robin link will be in addition to the default link for that calendar to start. Once the round robin link has been created, you can change the default link in your settings to the round robin link for that calendar and then delete the original 1:1 scheduling link for that calendar.

If you decide to reassign a seat to yourself for this purpose, sometimes it takes a few minutes to refresh and register the change, so I recommend logging out and then logging back in before creating the new link. Hope this is helpful! :slightly_smiling_face:
