I would like to know more about this as I have been promoted to marketng and will be more invoilved in the company website, to build landing pages, help to improve SEO, etc

Hi @BMcGoldrick , that’s great to hear!

AI Meeting Assistant is a Sales Hub Professional+ feature, so I’m afraid it’s not designed to help improve your company web presence. The tool helps sales reps prep for upcoming meetings, by reminding them of upcoming meetings, doing research on the contact and company, and providing follow-up assistance after meetings.

For your marketing and web development needs (landing pages, SEO improvements, etc.), you’d want to look into Marketing Hub and Content Hub features. These tools are specifically designed to help with marketing automation, website optimization, content creation, and SEO strategy.

How does the AI Meeting Assistant handle sensitive or confidential information discussed in meetings? Can Admins control data retention policies or opt out/exclude accounts from AI processing for specific meetings? (I dedicate this one to my INFOSEC team. :smiling_face_with_sunglasses:)

Hi @denny_cushing, excellent question!
In order to get insights from Meeting Assistant, you have to turn on the AI settings for CRM data and Customer conversation data. You can do this in Settings > Account Management > AI.
Your data will never be used for model training by our AI service providers, but you should avoid sharing any sensitive information that you don’t want stored in HubSpot.
Currently, there is not an option to exclude specific meetings from AI processing if you have it turned on for your account. You can, however, choose to not record a meeting and choose not to log any sensitive data related to that meeting into HubSpot.

How does the AI Meeting Assistant help with post-meeting follow up?

Great question about post-meeting follow-up - that’s actually one of my favorite parts of the AI Meeting Assistant, especially for busy folks like yourself running a business solo.

After your meeting ends, the AI Meeting Assistant helps streamline your follow-up process in several key ways:

  • The “Follow-up opportunities” section on the Schedule tab highlights meetings that need your attention. You can click on any past meeting and hit the “Follow-up” button to access all the post-meeting tools.
  • If you made the call through HubSpot (or with Zoom if you’ve set up recording sync), you’ll get an AI-generated meeting summary that captures the key points. This is available if you’ve enabled AI Assistant and call recording in your account settings.
  • The tool suggests specific follow-up activities tailored to that meeting - like sending a follow-up email or updating your meeting notes. You can take action on these suggestions with a single click.
  • Lastly, what I think you’ll find appreciate is that you don’t even have to write your follow-up emails manually, you can click “Generate a follow-up email” and it’ll provide an AI-generated email for you to review before sending.

  • Ready-to-use Copilot prompts that help you quickly research the company, their tech stack, and other relevant information
  • Post-meeting reminders to set meeting outcomes, log notes, and send follow-up emails – ensuring you keep your CRM updated and your opportunities moving forward

Does the AI Meeting Assistant provide background on my meeting attendees? Can it give insights on their roles, recent marketing interactions and topics of interest?

Yes, the AI Meeting Assistant gives you solid background on your attendees. It shows summaries of all recent interactions - emails, calls and notes from both the contact and company records. The Assistant analyzes these to highlight potential pain points and opportunities specific to your business.

You’ll also see their recent website visits, giving you insight into what topics they’re currently interested in. This helps you guide conversations toward what they care about most.

All this information comes in an easy-to-digest format, so you can quickly prepare for meaningful discussions without spending hours on research.
