Change a Contact's HUBSPOT TEAM without changing owner

Hello all - trying to get things organized. Few questions about contacts:

I work across a few different groups, with differing access to information. I can see that contacts come in to whatever Parent Team a User is associated.

1) I want to change the HUBSPOT TEAM associated with a contact, but not the owner - I can’t see that field in a place to edit when I select that contact to edit it.

2) If we have both personal emails and also “generic” emails like custserv or designs or info. Do we set these generic emails up as USERS as well? So we can run campaigns later that allow people to associate those generic emails? Sort of a ‘plan for the future question’.

3) Does anyone know how to well integrate an existing Hubspot CRM and DEALS (Marketing) free platform into our new Enterprise (Marketing) platform?

Let’s go through these one by one.

First question: The team associated with a contact is only a reflection of the owner. Here’s the definition of the HubSpot team field: “the team assigned to the contact owner for the contact”. You can’t change the team directly. The only way of changing it is by changing the contact owner.

Second question: Are you referring to marketing campaigns or sales campaigns? In the marketing email tool you can choose pretty much whichever alias as long as you can click the confirmation email sent to that alias. There is no need to set up additional users. For sales emails, HubSpot generally wants users to use their actual first and last name (from name). Aliases (from email) can be added, the steps for Gmail and Office 365 are explained here. If you want to be able to switch from names, you’d actually have to create additional users, yes, although that’s not how HubSpot wants you to use the tool.

Third question: There are integrations for syncing two portals. Generally, it’s best practice to run business for one company from one portal only. Less maintenance. You’d first export your records from the old portal, then import them in the new one.

So just following up a little:

1) so contacts get imported based on user, which has a “preassigned Team”. I have a database of say 20,000 contacts with 5000 for Product A, 5000 for product B and 10000 for product C. Each product is actually a different ‘team’. In order to bring them into Lists, I have to upload as a different person each time? I created a “generic email user” for each product and had them join an existing team. Does that seem the best way? but now that I import that way, when I view them in CONTACTS I can’t see how to edit their ‘team’ - which is currently ‘unassigned’.

3) If i export out Deals as a CSV, how do I keep all the structure and info in it? Do you recommend a certain app to try?

First question: Could we take a step back, wou you explain why you need a contact to be assigned to a team? If it is about filtering, from the context you have been providing, it sounds like you could also use a custom property with product options for this. Or is it about contacts access and you need to prevent certain users in the tool from viewing/editing certain contacts? In that case, I’d nominate a “champion” user (instead of a fake user) from each team and assign the contacts to this one user. Working with fake users causes more problems than it helps.

Third question: You don’t necessarily need an app for this (although you will probably find some on the HubSpot app marketplace). The export file is structured in a way that can easily be imported again – only notes will be lost, unfortunately. Those are considered engagements and can currently not be exported.

Yes understood for the 2nd and third questions - I did an integration and it worked.

For the first question - I saw that Hubspot doesn’t allow you to edit the “hubspot team” so it seems moot. Basically, we have big email lists we’re importing into Hubspot and putting into “lists” as well, but I was thinking that if I could control them by “team” I wouldn’t need to list an “owner”, real or fake. In the end I just did it with a real owner, which sounds like what you prescribe. Great.
