Automatically move pipeline stages based on close date

Hello,

I’m trying to move deals in a Renewals pipeline automatically based on their close date. [The screenshot attached should help to easily understand the business need]

I have troubles understading how re-enrollment works. In an ideal world, all deals in this pipeline will be enrolled daily, and follow a If/Then branch Close date is less than 60 days, move to the next stage etc.
I don’t find a way to have this automatic daily re-enrollment.
Any idea?

Thanks

Quentin

HI @quentin1,

I want to tag in some subject matter experts who may be able to assist with this matter!

@MatthewShepherd, @MikeCormack, @ndwilliams3 do you have any suggestions for @quentin1?

Thank you,
Jenny

You really need an inclusion vs exclusion based trigger for re-enrollment. Last activity is more than X days ago.

Based on your pipline stage viewI would create multiple workflows and use the date in the trigger criteria. Use last activity as re-enrollment trigger. This re-enroll if no activity has taken place in X days.

workflow 1

close date is less than 90 days from now

and

close date is more than 60 days from now

and

Last activity is more than X days ago

action: move to stage less than 90 days.

workflow 2

close date is less than 60 days from now

and

close date is more than 30 days from now

and

Last activity is more than X days ago

action: move to stage less than 60 days.

workflow 3

close date is less than 30 days from now

and

close date is more than 1 days from now

and

Last activity is more than X days ago

action: move to stage less than 30 days.

workflow 4

close date is more than 1 days from now

and

Last activity is more than X days ago

action: move to stage overdue.

Thanks, appreciated you took the time to analyze it!

Let me test it your way, will update here

Best,

Quentin

@quentin1 ,

Looking back at my outline, I noticed a couple of things to update.

1. Need to add the current stage, as once a deal is moved to the next stage, it doesn’t need to re-enroll.

2. the 4th workflow should be "

close date is more than than 1 day ago" and not “close date is more than than 1 day now”

Not sure of the specifics of your use case and if close dates potentially get updated. However, you don’t necessarily need the activity and re-enrollment. This would still move a deal through the stages as it hit the date thresholds.

workflow 1

close date is less than 90 days from now

and

close date is more than 60 days from now

and

Last activity is more than X days ago

and

pipeline stage is “more than 90 days”

action: move to stage less than 90 days.

workflow 2

close date is less than 60 days from now

and

close date is more than 30 days from now

and

Last activity is more than X days ago

and

pipeline stage is “less than 90 days”

action: move to stage less than 60 days.

workflow 3

close date is less than 30 days from now

and

close date is more than 1 days from now

and

Last activity is more than X days ago

and

pipeline stage is “less than 60 days”

action: move to stage less than 30 days.

workflow 4

close date is

more than than 1 day ago

and

Last activity is more than X days ago

and

pipeline stage is “less than 30 days”

action: move to stage overdue.
