Automatically Enroll a contact in a Sequence from a Deal

We are looking to automate our sales process. What I am trying to achieve is automatically enroll the Contact on a Deal into a Reschedule sequence when the AE moves the Deal into a No Show/Cancel Deal Stage. I have tried a few times, and my automations never work. IF the Deal is the trigger, it can’t seem to find the Contact and fails and vice versa! We have a small team, so any automation helps!

Hey @RLee23,
Thanks for posting in the Community!
I’d like to tag in a few of our experts who I’m hoping can provide some insight on how to best set up your workflow to help you and your team achieve your goals! @karstenkoehler, @danmoyle, and @trevordjones - any best practices you can share here?

Hi @RLee23,

Natively, this is only possible out of the box in contact-based workflows in Sales and Service Hub Enterprise: Enroll contacts in a sequence

You would have to design your contact enrollment criteria to be based on the associated deal.

Alternatively, workarounds with Data Hub Professional can leverage a custom code action which submits a form virtually for the contact, which then triggers the embedded sequence enrollment mentioned here: Enroll contacts in a sequence

Lastly, if you search for actions including they keyword “enrollment” in your workflow editor, you’ll find various third-party integrations which offer this functionality.

Best regards

Hi @RLee23 ,

I completely understand the challenge - automatically enrolling contacts from deals into sequences can be tricky with standard HubSpot workflows, especially if you don’t have Enterprise hubs.

One solution that works well (I’ve own it to be transparent here) for Professional Hubs is using a workflow-based approach with a tool like FlowNer – Enroll & Automate. It allows you to:

  • Automatically enroll contacts into sequences when a deal moves to a specific stage (e.g., No Show/Cancel).
  • Dynamically select the sender (contact owner or another user).
  • Automatically unenroll contacts when workflow conditions are no longer met.
  • Work across HubSpot objects - contacts, deals, companies, tickets, and even custom objects.

The workflow setup is simple: choose your workflow type (deal, contact, etc.), add the FlowNer action, select the sequence, define the sender, and activate. This way, your small team can ensure every lead gets timely outreach without manual enrollment.

FlowNer is currently in beta, and the first 10 users get 3 months of the Professional plan for free, so it’s a good way to try it out and see if it fits your process.

For anyone looking to automate sequence enrollment in Professional Hubs without needing Enterprise, this approach can save a lot of time and keep follow-ups consistent.

Hope this helps!

John
