Automatic Association of task, meetings and other activities

Summary

Meetings created via integrations (example: Claap) are automatically associated with the contact and the contact’s primary company, but not with related tickets. This breaks the ticket timeline, reporting, SLAs, and workflows unless the meeting is scheduled from the ticket or we manually associate it afterward.

Who this helps

Service, Support, and Customer Success teams that use Tickets + Meetings/Tasks/Calls created through integrations (Claap, Calendly, Zoom, Google/Outlook calendar, custom apps).

Problem

  • Activities created outside the ticket record don’t auto-attach to tickets.
  • Agents lose context in the ticket timeline.
  • Reporting on time-in-stage, SLAs, and activity totals per ticket becomes inaccurate.
  • Workflows that rely on “activity on ticket” triggers do not run.
  • Manual fixes cost time and create inconsistency.

Proposed solution

Add Activity → Ticket Auto-Association rules that apply to activities created by HubSpot or any connected integration:

  1. Rule options (admin-configurable):

    • If a contact has one open ticket, auto-associate the new activity to that ticket.

    • If a contact has multiple open tickets, allow admins to choose a default:

      • most recently updated open ticket
      • most recently created open ticket
      • all open tickets in selected pipelines or stages
      • or “place in Needs review” for a quick user selection.
    • If the integration passes a ticket ID or only Company ID in metadata, always associate to that ticket.

    • Limit by pipeline and ticket stage where needed.

  2. Supported activity types: meetings, calls, notes, tasks, emails (logged), and integration-created activities.

  3. Safety/controls:

    • Only associate when the contact is already associated with the ticket (or when the integration supplies a valid ticket ID).
    • Provide an undo in the activity and an Activity Association Audit view for admins.
    • Do not create tickets automatically; only associate to existing ones.

Settings / UX

Settings → Objects → Activities → Associations:

  • Toggle: “Auto-associate activities with tickets.”
  • Configure rules per pipeline and per activity type.
  • Per-integration toggle: allow association for activities created by specific apps (Claap, Calendly, Zoom, etc.).
  • Optional user prompt when multiple candidate tickets exist.

Success criteria

  • Activities created by integrations appear on the correct ticket timeline without manual steps.
  • Ticket-level reports (activities per ticket, SLA workflows, time to next touch) remain accurate.
  • Agents see complete context in one place.

Example

A Claap meeting note taker is scheduled from the Google calendar. Today it attaches to the Contact and Company only. With this feature, if the contact or company domain has an open ticket, the meeting also auto-associates to that ticket based on the configured rule. No extra clicks, complete timeline.

Why this matters

It brings parity with existing association automations for contacts/companies and closes a common data gap when teams rely on integrations for scheduling and activity logging.
