Is it possible to send a HubSpot form automatically through workflows when a client is added to the system?

Hey @DHeinlein, thanks for reaching out!

I’m not exactly sure what you’re asking. Happy to give you a more detailed response if you can tell us more about:

1. What you’re trying to send
2. Who you want to send it you
3. When you want to send it to them

Thanks!

My main issue is finding out if it is possible for a form in the marketing hub to be automatically sent when a client is added to the contact hub. When I looked at creating an email the only thing I could really do was add an attachment but then the information I need from the form wouldn’t be added automatically. Hopefully that make more sense, I appreciate your help.

Hi @DHeinlein,

Do you want to include information from the form in your email? If so, this can be achieved with personalization tokens: [Use personalization tokens](https://knowledge.hubspot.com/website-pages/personalize-your-content)

Best regards!

Hi @DHeinlein,

Yes, this is possible with a contact-based workflow, requiring a Professional subscription. Navigate to _Menu_ \> _Automation_ \> _Create workflow_ \> _Contact-base_d.

As enrollment criterion, you would use ‘_Create date_ is known AND _Email_ is known’ to enroll all new contacts. As a next step in your workflow, you could then send an automated email. This email would contain a link to your form.

Keep in mind that this workflow is quite risky. It would trigger when you’re importing 1,000 new contacts, it would also trigger when you integrate HubSpot with a third-party app that creates new contacts. Whenever a contacts is created, they would enroll here.

You might want to limit enrollment by _Original source_, consent or narrow it down to the contact submitting any form, for example.

Best regards!

Hi @DHeinlein,

Could you give an example? Are you referring to personalizing your email with information provided in the form? [Use personalization tokens](https://knowledge.hubspot.com/website-pages/personalize-your-content)

I may not have a full understanding of forms in HubSpot, sorry for that.

Here is my example: A client is added to our contact CRM and I need the following to happen:

1. Automatically send a form from the marketing hub to the client that I created.

2. The client completes the form.

3. That information is automatically updated on the empty properties under contacts that were assocated with personalized tokens from the form. Hopefully that makes more sense!

Unfortunately, when I look at sending an email in your previous example I don’t see a way to attach that form. This makes me think I need to send them a link somehow that opens up the form so that it would still trigger a workflow to automatically update my properties. I have no idea if that is even possible.

Hi @DHeinlein,

You can’t send a form directly within an email. You would create a form, place this form on a landing page and share the link of the landing page.

Once the contact submits the form with the same email address, it will automatically update the corresponding contact record.

Best regards!
