Automated Email - Meeting Question

There is the standard Hubspot confirmation email when someone has booked on a sales reps calendar.
I’m trying to create an email that is sent out 3-4 hours after that basic confirmation email is done with more information about our company including a link to a catalog and case study prior to that first meeting.
I’ve set up a workflow to send the email 4 hours after a form is submitted, but I’m getting tripped up on setting the email send.
We have a round robin set up in the meeting scheduler so that 3-4 different reps are getting meetings sent.
In the email that I’ve created, I can’t figure out how to set it up so that the email is sent from the sales rep who the meeting is booked with, and I want to personalize the signature in the email.
I’ve got the email created, but I’m getting the error:

  1. There is no default value set for {{owner.email}}.
  2. There is no default value set for {{owner.fullname}}.
    What would the default value be if the owner changes depending on who in the round robin the potential client booked a meeting with via Hubspot?

Hey @JRutherford! Are these owner fields referring to the contact owner?

The meeting booked and the contact owner are not always aligned, so I’d want to clarify which field you are using and if you have any processes set in place for assigning owners to new contacts.

The default value would be whatever shows up if the contact does not have an owner, so sometimes users choose to set this to a generic value like sales@hubspot.com and HubSpot Sales Team for example.

The default value is a fallback in case no value is captured by the system. If you are setting the owner prior to the send, and even consider running a if/then step to make sure a value exists, then it doesn’t matter what value you put in there. Although I would recommend something like “Your Account Team” or something else generic just in case.

Great idea to add more info before the meeting! For the owner field, have you considered using a workflow to assign the contact to a rep based on location? That way, you can personalize the email with the rep’s name and even a link to relevant case studies, like ones featuring Princess Portable Toilets in your area.
