Association of Contacts & Companies - Using different criteria

Hi there,

We want to associate contacts and companies based on two criteria (company name & postal code). Unfortunately the native HubSpot functionality in workflows supports only matching of one property.

Someone have a workaround for this case? Also looking for a solution on the marketplace, but we want to have something to do directly in workflows. Also if someone has written a custom code we can use it because we have also the operations hub!

Thank you in advance!

Best

Fabian

Hi @Fabian93,

You’re in luck, HubSpot recently launched a workflow action to establish associations based on shared values in single-line text fields :slightly_smiling_face:

New Workflow Actions for Associations

June 18, 2024

What is it?

Admins will be able to automate parts of the association management process through workflows. They will be able to use new association actions within their workflows to help apply, update, or remove association labels and create new associations based on matching property values. We recommend watching the following videos to learn more:

Why does it matter?

Historically, managing associations and their labels was a tedious and manual process. This new functionality allows admins to automate some of those processes while increasing data quality and reducing manual work. As companies scale, it is difficult to continue managing associations manually, especially as their usage of associations and labels increases.

How does it work?

  • Admins will be able to add association actions to their workflows to help automate parts of the association and label management processes
  • We are introducing 4 new actions in contact, company, deal, ticket, and custom object based workflows :
    • Apply labels to already associated records
    • Update existing association labels
    • Remove existing association labels
    • Create new associations between two records that have properties with exact matching values
      • Note: This functionality only exists for single-line text, multi-line text, or phone number properties

Who gets it?

Best regards!

Hi Karsten, Thanks for your fast feedback! I know this new feature and we have already opted in the BETA. For the most cases it works pretty well but we have now this one special case, where we want to associate a contact based on the domain url AND the postal code with a company object. The problem is, that I cannot use in the associate action two matching properties (with an “and” operator). So I can only associate based on one property and that’s not enough for our case. Our I getting something wrong?

Best,

Fabian

@Fabian93 in that case, you would have to first combine the two fields into one, by using a workflow and the ‘Set property value’ action. You would have to do so on both objects you want to associate. It’s not elegant but would work.

ahh, great hint! Thank you! I will try it

Have a nice weekend!

Best,

Fabian
