We should be able to assign default emails to pipelines in Help Desk, and also make it so certain users can only reply from certain emails in Help Desk.
For example, I have users who create a ticket and then go to send an email and forget to change from the default email. They are then emailing from the wrong email, and possibly creating confusion because they then send from the wrong email and also the wrong email signature (this is automatically tied to the email that it is sent from).
From there, every user from every team is able to email from any email. Our client success team doesn’t need to be emailing from the finance email, so we should be able to control this in Help Desk also.
Overall, we just need more customability with who can email from which email channel. Not everyone needs access to everything.
To streamline your email management and prevent any confusion, I suggest connecting only the team email to your Help Desk channels. When you connect the team channel, you’ll have a great option to Customize your email details. This way, every response from your team will automatically come from the default email address, ensuring consistency and clarity.

This will not solve the exact problem. If we can make a mailbox attached to one pipeline, so that we can reply only from that email, that will be great. otherwise we have to always manually check whether we are sending the reply from the right mailbox

Subin you’re right, HubSpot Help Desk does not natively assign a unique default mailbox to each pipeline or restrict reply permissions by pipeline, so users must manually select the correct sending email unless workflows and team channel restrictions are carefully set up. Help Desk is a tool where Service Hub users can see all communications in one place, so I don’t think the HubSpot team built it to do what you’re describing. However, adding your request with specific use-case details to their Ideas forum here may help.
Some of the workarounds and best practices suggested I’ve seen are to connect only the team’s mailbox needed to a pipeline or workspace. This limits sending options and can minimize mistakes. Also, regularly train users to double-check the sending address before replying, especially when multiple channels are attached. It’s not ideal for some teams, but truly training a team to a tool the way it was built can go along way. And for advanced setups, some workflow or permission controls are available on higher-tier HubSpot plans or might be available via integrations.
So for now, limiting mailbox connections and emphasizing user training are the best practical solutions along with the ideas forum.
The solution provided doesn’t actually address the issue stated and for clarification this issue specifically is for when you have created a ticket and are sending the initial email communication to a contact.
Let’s say you create a ticket in the B pipeline and the default email channel associated to the B pipeline is xyz@b Now you go to send the first email communication to the contact you have associated to the ticket you just created and the “From” email instead of coming up as xyz@b instead comes up as efg@z so it will auto-default as “From” an unrelated email address of another channel in your channel list.
Now if a ticket comes into the B pipeline from a contact and I go to reply, it WILL auto-default FROM to the proper email channel, just not at the initial send which is a major issue for businesses needing to communicate externally through help desk and send out emails.
This is standard functionality that other Help Desk software offers e,g Zoho Desk. With the ability to allow set ‘branded’ signatures for each agent for each of the many brands they may represent for different products/brands they support. Locking the Signature to the Pipeline eliminates human error risks.
Our teams are busy working on focusing on supporting & delighting our customers- they don’t need to worry about what ‘signature’ or checking the correct ‘from email/mailbox’ is used for every ticket.
We were really hoping (praying) that HubSpot Help Desk would deliver on some of the features it lacked compared to other, more mature products on the market. Unless we’ve missed, this is now a feature and just can’t find how to configure?

Currently, Help Desk doesn’t offer built-in assignment of emails or signatures by pipeline, but I can see how this would streamline your workflow.
