Archive Objects (contacts, companies, deals, tickets)

This is absolutely needed, and the previous comments about needing it due to EU GDPR regs is spot on. We CANNOT delete this information. We should be able to have a way to archive these, and not have them count against our contact count. This feature should be applicable to both contacts as well as companies.

Agreed - hubspot needs to make this happen for the points given.

Am currently implementing Hubspot accross the organization and this is definitely a key feature that I’d like to see. It’s creating friction between our Customer Success Team and Marketing efforts that we can’t properly archive an old contact at a company.

Using HubSpot for B2C in property and I have 17K inactive contacts and 3K active contacts.

People don’t buy a house every day but they might be buying anytime after they registered interest with us.

We can’t be deleting the records as we definitely want to retain the customer relationship.

I agree. We are in a B2B business and people move to different companies and we definitely need to keep history in the CRM not lose the contact history over the years at the level of the company and then at level of contact. “Active” vs. “Inactive” contacts could be a good way to qualify a contact who is no longer in the company.

I definitely would appreciate this feature being added. Even an additional lifecycle stage would be appreciated as “inactive” or subcategories for “Other.”

Need this feature too. Hope HubSpot can make it happen!

We’d like to see this as an option as well. Addtionally, we’d like to be able to archive them and not have them count toward our number of contact records active in our account. Should they need to be “reactivated”, they would count back into our total.

Still needed…

We are constantly running into this senario when one of our contacts is longer with the company. Deleting them is not an option because we want to retain all the history of the deals they are associated. I’ve trained our salespeople to replace the contact who has left the company with the new employee replacing them. First adding their email address and making it the new primary and then replacing the first and last name with the current contact. This retains all of the former communication you had so you keep that all important history.

I love an idea of having an inactive setting that will remove the contact from all workflows and does not count toward the total number of contacts you have in your database.

Hey Hubspot, it looks like this is a feature that has been requested for a couple of years now. Is it in the road map for the future? If not, do you have recommendations for any other type of workaround? Thanks!

Hi all - we’ve found a way to archive using existing HubSpot functionalities:

The first step is to create a checkbox property (“Left Company”) for contacts.

Left Company property value is “Yes” in two scenarios:

1- Triggered manually: when a HubSpot user checks it because he learnt that the contact is no longer at the company (even if his email is still valid!)

2- Triggered automatically when email verification returns invalid emails

(be careful not to include email bounces as a third scenario; some emails might still be valid even when they bounce).

The “Yes” value sends all contacts to the “Archive” list and triggers workflows to update contact data.

The last step is to opt-out all contacts in the Archive list from your subscriptions, email campaigns, and workflows (depends on your HubSpot subscription).

I agree that an archive and redeploy feature that is integrated within hubspot.

2 years later and customers are still requesting this feature. The suggested work arounds do not work for everyone unfortunately.

Same as everyone else. Shocking to see no response from the team even acknowledging why it’s not been implemented after >2years.

In a similar vein, our sales opportunities are seasonal, so we’ve got a bunch of ‘PAST:’ appended to old pipelines. I wish I could archive a pipeline so I don’t have to scroll thru 20 of them to find current sales opps.

@Anonymous, I was looking for the same function. Turns out you can create a filter to view Deals in various stages (such as PAST, or whatever you choose). Then you can set that view as default on the Deals page.

I agree. Or perhaps allow us to filter them out in our view, removing the deal columns I don’t want to see. Right now I have Closed Won, Closed Lost, and Closed Disappeared. I’d like to have those columns not display in my primary daily working view.

Any news on this one?
