Hi,

is it possible to create an approval process only for specific users, who create a quote? Lets say you have beginners and want to approve every quote they create but on the other hand you have professionals who a specialist creating quotes and don’t need approval. Can the approval process depend on user creating the quote?

Furthermore does the approver need an Enterprise license or can he/she approve also with a free licence?

Thanks for feedback

Jenni

Hello @JenniferM,

The approval feature is all or nothing – when turned on, [approval is required on every new quote](https://knowledge.hubspot.com/deals/approve-quotes) that’s created.

As far as I know, this should work for any user as an approver, they don’t have to have a paid seat.

Best regards!

That is not completely correct @karstenkoehler, when enabling quote approval HS is creating 3 workflows where it is possible to build in the logic of when an approval is needed. It is a hack but I have managed to get it to work in the past 🙂

Thanks for confirming, @Stenbaek, I had played around with that too. As is often the case this probably introduces some margin of error but it’s odd that HubSpot would highlight the fact this will require approval on **all** quotes so much in the documentation.

@JenniferM, let me know if you want to explore this hacky option.

Cheers!

Hi Karsten,

Came across this thread, as I am looking for a workaround. Can you detail how this ‘hack’ can be done? I need only certain quotes to have approvals.

Paul

Interesting. I’ll try to follow your workflow. In the meantime, we have disabled Quote approvals, as salespersons and managers found it too limiting.

@Stenbaek please explain how you were able to bypass this?

Hey Jenni - this is something [quote•hapily](https://quote.hapily.com/) handles really nicely because it allows you to build specific rules to make sure you only require approval for the quotes (and reps) who need it.
Here’s how it would work:
1. Create a new quote rule in quote•hapily
→ Name: Guardrails: Require Approval

2. Add conditions to the quote rule (these can be based on any data you have in HubSpot)
→ Any of the conditions below
→ Teams is any of “Beginner”

3. Select a rule outcome
→ Select: Require Approval
→ Message: Approval is required to publish your quote
→ Checkbox: Check “Add to Approval Queue”
→ Approval Queue: “Sales Approvals”

4. Create an automated quote based workflow in HubSpot

→ Trigger the workflow when an event occurs

→ Has completed: Property value change

→ Property name is Quote approval status

→ New value: Quote approval status is any of Pending approval

5. Create a branch and check branches in order

→ Needs Sales Approval: quote•hapily Approval Queue is any of Sales Approval

→ No Approval Queue Set: If none of the criteria are met

6. Needs Sales Approval Branch

→ Action 1: Use the quote•hapily “Request Quote Approval” workflow action to send the quote for approval to your desired sales approver email address.

💡 The “Request Quote Approval” action checks all approvals have been accepted before releasing the quote to the next step in the workflow.

→ Action 2: Use the quote•hapily “Publish the Quote” action to publish the quote for prospects.

7. No Approval Queue Set

→ Action 1: Use the “Go To Action” workflow action to route the workflow to the quote•hapily “Publish the Quote” action in the first branch.

Hi @JenniferM!
I solved this by adjusting the approval workflows by adding a branch:
The branch checks the **Quote Owner** and sets following actions based on it:
1. if the **Quote Owner** is any of the users X, Y or Z, the **Quote Approver** is the Sales Director.
2. if the **Quote Owner** is any of the users A, B or C (senior sales team), set **Quote** **Approval Status** to **Approved.**
Hope this helps you too!
